The Fleet Administrator (6-month fixed term contract) will support the Fleet Compliance Controller by performing administrative tasks.The duties will involve communicating with depots and suppliers on the phone, through email or in-person and managing their requests.Additionally, updating systems, records, including preparation of information for creation of fleet performance reporting also falls within the remit of this role. Main Responsibilities Role Specific: Raising of purchase order numbers. Posting of documents. Liaising with suppliers regarding account queries. Parts stock ordering. Compilation of incoming chargeable work for review before being placed onto Oracle. Compilation of information for Fleet Management Reporting pack. Update fleet savings trackers. General: Carries out clearly defined duties and tasks, with close attention to detail and ability to meet deadlines. Support the National Fleet Compliance Manager creating reports and identifying any anomalies from the Depots. Work closely with the National Fleet Engineer Manager checking invoices, PO’s. Uses established procedures to solve routines issues and problems. Act upon any feedback from your line manager concerning individual and / or team performance. Be responsible for and undertake continual learning and development both informally and formally, ensuring a clear understanding of the priorities of the team, function, and business overall. The Ideal Candidate Experience: Relevant experience of working in administrative role. Essential Skills and Attributes: Team player. Skilled in Excel. Good communication skills. Strong time management skills with the ability to manage conflicting priorities. Keen eye for detail. Ability to maintain a positive attitude during challenging situations. Able to act at all times in a professional manner to the benefit of the company and maintain confidentiality at all times. Understanding of Fleet Compliance and Legislation (preferred not essential). Experience in Oracle or similar system (preferred not essential). Role Specific Requirements: Analytical thinking. Strong numerical skills. Good organisational and prioritisation skills. Convey and record accurately information exchanged by phone call regarding depot or supplier requests or issues. Ability and aptitude to obtain information regarding costs, & query resolution. Ability to develop a working understanding of fleet operation, statutory legal requirements and basic technical workings of the fleets.
