As a Medical Receptionist at Roseland Surgeries, youll be a key member of our close-knit team, providing a warm and professional welcome to patients and visitors across our three rural locations. Your role will be central to keeping our surgeries running smoothlywhether you're managing appointments, handling phone and face-to-face enquiries, or supporting the clinical team with essential administrative tasks.

Working across Portscatho and Tregony, youll need to be flexible, reliable, and comfortable travelling between sites. This position suits someone who is compassionate, well-organised, and able to adapt to the varied pace of a small community practice, where every patient interaction matters and teamwork is at the heart of what we do.

* Greet and assist patients
* Manage calls and appointment system (SystmOne)
* Process prescriptions and patient registrations
* Maintain confidentiality and support clinical staff
* Handle mail, emails, and documentation

Job responsibilities

Key Responsibilities and Duties

* Greet patients and visitors with warmth and professionalism
* Answer telephone calls, manage enquiries, and direct patient calls appropriately
* Book, amend, and cancel appointments using our clinical system (SystmOne)
* Signpost patients to the appropriate service for their need(s)
* Process repeat prescription requests and liaise with clinicians
* Maintain patient confidentiality and uphold data protection standards
* Support clinicians and practice staff with administrative duties
* Open and prepare the premises punctually
* Handle incoming and outgoing mail, emails, and documentation
* Assist with patient registration and updating records
* Coordinate across the three sites as needed (travel is required)

* Excellent communication and interpersonal skills
* Strong organisational abilities and attention to detail
* Ability to remain calm under pressure and manage busy workloads
* Proficient in IT systems (training provided on clinical software)
* A team player with flexible and proactive attitude

Additional Information

* Due to our rural location and multi-site setup, access to own transport is essential
* To keep the practice running efficiently, it may be necessary to take on new tasks or step back from existing tasks
* Previous experience in a medical or customer service role is desirable but not essential - training will be provided

Person Specification


Organisation

* Strong organisational skills with ability to multitask and prioritise workload
* Problem solving and analytical skills
* Ability to work under pressure


Additional Skills/Requirements

* - Access to own transport due to rural location and multi-site working
* - First aid training
* - Basic knowledge of medical terminology

* - Proven ability to work collaboratively within a team, as well as working autonomously

Qualifications

* GCSE (or equivalent) grade A to C in English and Maths


Training & IT Skills

* - Willing to undertake regular mandatory training
* - Competent in using computers and standard office software (e.g. Outlook, Word)
* - Familiarity with SystmOne or other clinical systems


Communication Skills & Confidentiality

* Excellent verbal and written communication skills
* Confident and polite telephone manner
* Understanding the commitment to patient confidentiality and data protection


Experience

* Experience in a customer facing role
* Experience of working in primary care
