An Assistant Careers Advisor (ACA) is a Recruiting Force (RF) RN Leading Rate or senior AB/RM equivalent (OR2-4) who works alongside other RN Careers staff within a Recruitment Office. The post holder is responsible for the initial counselling and processing of candidates interested in a career in the Naval Service. Regular travel may be required to the Recruitment Office and Recruitment and Attraction (R&A) HQ. Responsibilities The post holder’s primary purpose is to manage their day-to-day workload for the delivery of recruiting targets. This includes processing candidates, outreach, resources and support to recruitment outputs. In relation to candidate processing the post holder is to: To assist RN Careers staff to attract and process candidates for entry into the Naval Service, f ollowing strict recruiting procedures and standards as detailed in BR3, Recruiting Operations Manual (ROM), Recruiting General Memoranda (RGMs) and Recruiting Instructions (RIs). Receive handoffs from the area coord and progress allocated application at best speed. To be the initial point of contact for all candidates who require information regarding careers in the Naval Service and to manage the front-end processing of applications. Conduct front end CRM for all allocation candidates. To ensure the Recruiting Information Technology System (RITS) is utilised, maintained and updated (including regular RITS housekeeping). To manage the completion of the Defence Aptitude Assessment (DAA) for all candidates. To conduct Candidate Relationship Management (CRM) activities with potential applicants and candidates at the front end, as directed by the AC. To conduct counselling with potential candidate who express an interest in joining the RN. To assess potential recruit candidates’ eligibility with respect to qualifications, nationality, residency, criminal record and former Service referring all potential rejections to the Area Coordinator. To conduct the Basic Check on all candidates. In relation to outreach the post holder is to: Represent the RN at local recruiting events and education establishments, as directed by the TM. Attend Job Fairs, Careers Conventions, as directed by the TM. Visit schools, colleges and Cadet Units to give presentations regarding careers in the RN. Complete Post Evaluation Reports, as directed. In relation to resource management the post holder is to: Manage the safe custodian and security of DAA IT. In relation to recruiting support the post holder is to: Assist the Team Manager (TM) with the training of new staff joining as an ACA. Accompany educational groups on visits to Naval Service Establishments. Accompany candidates and influencers during arranged visits to HM Ships and Establishments. Assist in submitting reports, returns and statistics as required by chain of command. Maintain the Team’s SharePoint area and filing system in accordance with current General Data Protection Regulations (GDPR) regulations. Carry out front desk reception duties, which include maintaining the overall appearance of the reception area, where required. Refer complaints of any nature to a CA/AC/TM. Carry out administrative and general duties, as directed by the TM. Receive and despatch official mail, distributing/circulating incoming mail, as appropriate. Maintain currency and familiarity with the policy documents used for recruiting. Assist in preserving the physical security of the Recruitment Office. Assist with document security adhering to current Data Protection Policy. Lead the ordering, receipt and correct stowage of all Naval stores including recruiting literature, as detailed by the TM. Act as the duty Naval recruiter, if required. The Job Holder is to undertake recruitment related roles, including outreach, or other functions outside recruiting but within their SQEP as required by SO1 Recruitment. These roles will be undertaken either in person and so aligned to the location and terms of their Limited / Full Commitment or via remote working where applicable. Accountability The ACA is accountable to the TM with functional authority to the Area Coordinator. The TM is the First Reporting Officer (1RO), the Recruitment Manager (RM) is the Second Reporting Officer (2RO) and the Senior Recruitment Officer (SRO) is the Third Reporting Officer (3RO). The TM will normally conduct Performance Appraisals. Authority The ACA is authorised to: Represent the RN at the appropriate level. Take decisions on routine matters in support of their purposes, on behalf of the TM / AC. Administer front desk routines. Committees To attend team appropriate meetings. To represent their recruiting team at internal and external meetings, as required. To attend periodic meetings as directed by the RF management team.
