Job overview

We are recruiting for a Rota Co-Ordinator who shares our vision to be trusted to provide consistently outstanding care and exemplary service to our patients.

The post-holder will Support the Medical Rostering Lead in the coordination & administration of the medical staffing on-call rotas within unplanned care using Medirota (e-Rostering) system.

The post holder will also co-ordinate the sickness, study leave and special leave for all medical staff identifying and escalating risks with input and support from the lead Consultants, Senior registers and the leadership team.

The post holder will also provide assistance and advice to new and existing users of the system.

Main duties of the job

Ensure that the medical team comply with all Medirota (e-Rostering) system and processes.

Maintain operational staffing functions associated with E-Roster and all associated systems and processes.

To undertake all administrative changes required to the system and provide first line support to system users.

Provide technical support, answering support queries either via phone, email or face to face and maintain a high degree of customer service.

Process changes, requests, and forms in a timely manner, whilst being aware of when further guidance may be required.

Directs unresolved issues to relevant resource.

Person specification


Qualifications / Training


Essential criteria

* Educated to GCSE Level or Equivalent
* Proven literary and numeracy skills.
* Evidence of ongoing professional development


Desirable criteria

* NVQ Level 3 in business administration or customer care


Previous Experience


Essential criteria

* Previous staff management
* Setting up of new systems
* Working with a variety of clinical and non-clinical staff


Desirable criteria

* Experience of e-Rostering products


Skills


Essential criteria

* Excellent communication and presentation skills
* Excellent written, verbal and interpersonal skills
* Ability to work autonomously and as part of a team, recongnises limitations of role and knows when to escalate


Desirable criteria

* Skills in problem solving initiatives


Knowledge


Essential criteria

* Knowledge of working on staffing related systems, particularly eRostering
* Knowledge of medical staffing processes
* Good working knowledge of Microsoft Word, Excel and Outlook


Desirable criteria

* Knowledge and good understanding of different administrative and HR Processes.


Other Requirements


Essential criteria

* Self-motivated and able to work autonomously when no line manager is present
* To undertake any other duties that could be reasonably expected to maintain the Service.
* Willingness to be flexible
