Job title: Supply Chain Coordinator

Reporting to: Supply Chain Supervisor

Accountable to: Head of Supply Chain

Pay Band: Agenda for Change Band 3

The Trusts' Procurement and Supply Department needs an enthusiastic team player to join our Supply Chain Team, providing essential services to wards and departments throughout Queen Alexandra and St. Marys Hospitals. Some knowledge of supply chain management and the use of handheld bar code readers would be useful but not essential, as would experience with Procurement and Inventory systems; full training will be provided. You should have experience working in a customer service environment and be prepared to undertake light lifting. Keyboard skills are essential. You will have a flexible approach to work and the ability to communicate effectively with customers and colleagues. You will be able to prioritize your workload while understanding the importance of meeting deadlines. Our Procurement team is based at Lakeside North Harbour, while our Supply Chain Teams are based at Queen Alexandra Hospital in Portsmouth and St. Marys Hospital in Newport, IoW.


Main duties of the job

* Process routine information to advise customers and colleagues, using persuasive skills to maximize cost-effectiveness within the Supply Chain.
* Follow routine Supply Chain Procedures to ensure service levels are achieved.
* Resolve queries, uplifts, or collections on behalf of customers, liaising with NHS Supply Chain and commercial suppliers.
* Purchase goods and services through E-Procurement systems against contracts as requested by budget holders.
* Plan and carry out stock review meetings effectively.
* Manage stock levels for departments using the Supply Chain Service.
* Maintain good relationships with hospital departments, ensuring quick and effective responses to inquiries.
* Ensure accurate data entry to meet input deadlines within supply systems.
* Work independently on routine decisions, following standard procedures.
* Ensure manual handling equipment is available and used safely, in line with Trust policies.
* Inform customers of potential problems within the Supply Chain to ensure stock availability or alternatives.
* Maintain stock rooms in a tidy condition to meet Health & Safety regulations.

Job responsibilities

Core Functions

* Maintain effective relationships with hospital departments and respond promptly to inquiries.
* Ensure accurate data entry within supply systems to meet deadlines.
* Operate independently on routine decisions following standard procedures.
* Ensure availability of manual handling equipment and adhere to safety policies.
* Notify customers of potential supply issues and stock alternatives.
* Keep stock rooms tidy to meet health and safety standards.


Person Specification


Experience

* Education to GCSE or equivalent, including Mathematics and English.
* NVQ Level 3 or CIPS Foundation Level in Mathematics and English.
* Experience in a service industry, warehouse, or retail environment.
* Training in moving and handling goods, including forklift operation.

Salary: £24,625 to £25,674 per annum, pro rata.
