Are you organised, friendly and looking to start or develop a career in NHS administration?

We are seeking a Band 2 Clerical Officer to join our Specialist Palliative & Enhanced Supportive Care team.

This role plays a key role in ensuring the smooth day‑to‑day operation of the service by providing efficient, confidential, and professional administrative support to the nursing and clinical team.

This role contributes directly to the delivery of a high‑quality, patient‑focused palliative care service and requires a strong commitment to confidentiality, teamwork, and continuous personal development.


Main duties of the job

Your duties will include answering calls, booking appointments, processing referrals, maintaining electronic records and handling correspondence. Full training will be provided, and you will be supported to build confidence in Trust systems and processes. You'll need good communication and organisational skills, a professional and compassionate approach, and the ability to manage a busy workload. You'll work as part of a friendly and supportive administrative team, with opportunities to learn new skills and provide cover across both hospital sites when required.


Job responsibilities

* Provide comprehensive administration support to the Specialist Palliative & Enhanced Supportive Care team.
* Receive and process referrals from internal clinical teams for the Inpatient team and from internal & external teams for the Community team.
* Book outpatient appointments using the patient administration system regularly throughout the day.
* Manage multiple phone calls throughout the day with sensitivity, dealing with patients or families who may have difficulty understanding or may be upset or aggressive.
* Manage the mail for the team by opening and sorting incoming post and sending out correspondence internally and externally.
* Carry out typing tasks as requested by the Secretary Supervisor.
* Prioritise workload appropriately and undertake work requested by the secretary supervisor.
* Cover colleagues during absences/annual/sick leave and, if required, undertake job rotation for cross‑cover and development and training purposes.
* Communicate with all levels of staff, including hospital staff across the Trust, GPs, patients, and their relatives.
* Participate fully in the Trust's appraisal system review and personal development planning process on an annual basis.
* Undertake training as necessary in line with the development of the post and as agreed with the secretary supervisor as part of the personal development planning process.
* Achieve and demonstrate agreed standards of personal and professional development within agreed timescales.

Person Specification


Qualifications

* GCSE Maths and English, Grade C/4 and above
* Excellent keyboard skills with experience of Microsoft Office packages


Knowledge & Skills

* Excellent verbal and written communication skills with ability to communicate clearly and effectively with all levels of staff and public.
* Proven organisational skills and ability to prioritise workload and work to deadlines.


Experience

* Previous experience in a hospital environment, or suitable office experience.


Personal Attributes

* Highly motivated to provide outstanding patient care.
* Excellent team player with the ability to work independently when required.
* Resilient and empathetic when working in a sensitive and emotionally demanding environment.
* Good command and understanding of English, including punctuation and grammar.
