Job Title: Medical Secretary | Administration | Liverpool | Full-Time | Permanent
Spire Liverpool is seeking an experienced Medical Secretary to join our team and support our Consultants in delivering high-quality services.
Job Purpose
The Medical Secretary will provide comprehensive secretarial support to Consultants, requiring excellent communication skills, computer literacy, and the ability to remain calm when dealing with clients.
Accountability and Activities
1. Provide efficient secretarial support to all Consultants.
2. Type clinic notes and letters to GPs and external agencies, meeting deadlines (48-72 hours).
3. Handle patient queries with tact and diplomacy, especially on sensitive issues.
4. Liaise with Consultants and secretaries to resolve patient queries and complaints promptly.
5. Manage all correspondence, calls, and queries for at least six Consultants with high accuracy and attention to detail.
6. Communicate effectively with GPs and other healthcare professionals.
7. Provide copy clinic letters as needed.
8. Open and distribute Consultants' mail.
9. Type discharge summaries and operation notes dictated by Consultants.
10. Log and distribute incoming clinic/theatre typing, insurance claim forms, and DWP forms.
11. Order office supplies for Consultants.
12. Coordinate with outpatient, medical records, NHS, and other departments.
13. Assist in training new and trainee Medical Secretaries.
14. Complete mandatory training (fire, health and safety, etc.).
15. Ensure service continuity during absences by providing cover for private typing.
16. Contribute to departmental procedures development.
17. Familiarize with company policies and procedures.
18. Deliver excellent customer service to all users.
19. Perform other duties as required by the Senior Medical Secretary.
Qualifications, Training & Experience
* Good educational background.
* Professional telephone manner.
* Knowledge of medical, anatomical, and physiological terminology.
* Proficiency with IT systems.
* RSA Level II or equivalent qualification.
