Reporting to the Bid and Sales Programme Manager, the Bid Coordinator will be responsible for administration associated with bid and sales processes, and for the completion of PQQ, RFI, and basic ITT documents. In a consistently busy and deadline-driven environment, it is essential that the Bid Coordinator can perform their duties accurately, efficiently, and manage multiple deadlines effectively.
Main Duties
1. Collaborate closely with the bid team, sales team, and operational colleagues to oversee all administrative tasks related to bid processes.
2. Manage shared bid team mailboxes daily to ensure swift handling of all correspondence.
3. Assist the Bid and Sales Programme Manager in managing bid portal registrations, maintaining comprehensive records to ensure portal access at all times.
4. Support tender administration, including reviewing tender advertisements and liaising with sales teams to gauge interest in opportunities.
5. Help manage team activity trackers alongside the Bid and Sales Programme Manager.
6. Implement governance procedures and processes related to Bid Team activities.
7. Maintain Bid Team SharePoint and Teams sites for effective tender process management, including setting up relevant channels for each bid opportunity.
8. Assist in completing standard information documents throughout the bid lifecycle, including submissions.
9. Support audit activities to ensure compliance with internal standards and governance measures for the entire tender process.
10. Provide project management support to develop technology platforms that facilitate bid team workflows.
