Come and join Adept as an Assistant Operational Service Manager (Cleaning Focused) at Charter Walk Shopping Centre. Reporting direct to the Site Operations Service Manager, and having direct reports from the Cleaning Operatives and Security personnel.
Purpose of the Role
To support the Operations Services Manager in delivering exceptional cleaning and security operations at Charter Walk Shopping Centre. This includes day-to-day operational support, maintaining service compliance, team leadership, and promoting a safe, inclusive environment aligned to the Centre's ethos. The Assistant Operational Services Manager is a key link between site teams, Centre Management, and Adept leadership.

* Cleaning Focused
* Supporting security operations
* Roster updates and absence management completed weekly
* Operational reports and audits submitted on time
* Zero missed check-ins or dropped shifts due to absence mismanagement
* Compliance maintained for Assignment Instructions, Risk Assessments, and Timegate records
* Accurate stock monitoring and ordering of cleaning consumables
* Regular welfare visits and engagement with all site staff
* Client issues resolved or escalated promptly with clear communication
* Staff induction, training, and performance reviews completed and documented
* Support delivery of monthly KPI reports with action logs
* Full compliance with H&S, GDPR, and SIA regulations
Key Responsibilities
Operational Leadership
* Assist with daily supervision of cleaning and security teams
* Support rota planning and holiday/absence cover through Timegate
* Report defects and incidents, ensuring investigations are documented and submitted
* Deputise for the Dual Services Manager during periods of absence
* Ensure staff are conducting all required checks and operating within COSHH and H&S standards
* Support the delivery of emergency response procedures and Centre evacuations
* Provide regular site inspections and status updates to the Operations Manager
Client Relationship & Support
* Build trusted relationships with Centre Management and tenants
* Assist in disseminating key information to tenants and managing community events
* Represent Adept positively in all interactions and contribute to Centre-based culture
* Attend and contribute to monthly client meetings, ensuring a visible presence
* Escalate concerns or feedback promptly and professionally
People Leadership
* Deliver staff inductions and on-the-job training with support from HSQEM
* Support welfare and engagement initiatives including 1:1s, appraisals, and welfare checks
* Ensure staff adhere to site protocols and customer service expectations
* Address employee welfare issues with HR where appropriate
* Support recruitment, licensing, and development of site-based and relief staff
Compliance & Reporting
* Maintain updated site documentation including Assignment Instructions, risk assessments, and cleaning files
* Ensure Timegate is used effectively for all booking on/off and check calls
* Submit weekly operations reports and audits
* Track and report cleaning stock usage and reordering needs
* Submit client KPI documentation with action logs and deadlines
* Conduct regular inspections and escalate any risk or compliance concerns immediately
Person specification
* Supervisory or team leadership experience in cleaning/shopping Centre/Retail
* Good understanding of rota planning, shift cover, and operational reporting
* Experience working with scheduling and reporting systems (e.g. Timegate, iAuditor)
* Confident communicator, both written and verbal
* Committed to high standards and staff engagement
* SIA Licence (Deseriable and or willingness to obtain); First Aid and IOSH (desirable)
* Willingness to work flexibly and be visible across shifts
