Job Summary
We are seeking a highly motivated and detail-oriented Film and Event Planner/Co-Ordinator to join our dynamic team. The ideal candidate will possess exceptional organisational and time management skills, with a passion for creating memorable experiences for clients. This role involves coordinating various Film and Sporting Event Planning.
Responsibilities
* Collaborate with clients to understand their event objectives and requirements.
* Develop comprehensive event scheduling plans, including staff availability, matching staff to suitable shifts.
* Sending out personalised duty orders ensuring staff are supplied with all information required including exact location details, on site contact details, meeting time, parking, provisions available, any special instructions.
* Populating diary with current & future clients' requests.
* Providing clients with medics' details.
* Building and maintain relationships with production co-ordinators, unit nurses and sporting clients.
* Completing & requesting accreditation and arranging studio/location access and/or passes for staff.
* Updating the crew board as required.
* Vehicle allocation.
* Checking sporting websites and cross checking against diary.
* Coordinate with vendors, venues, and suppliers to secure necessary services.
* Manage on-site event operations, ensuring everything runs smoothly from start to finish.
* Handle any issues or last-minute changes that may arise during the planning process or on the event day.
* Maintain strong communication with all stakeholders throughout the planning process.
* Out of Hours Duty Manager 1 week a month.
Requirements
* Proven experience in event planning or a related field is preferred.
* Strong organisational skills with the ability to manage multiple projects simultaneously.
* Excellent time management skills to meet deadlines effectively.
* Background in hospitality, planning and scheduling experience is advantageous.
* Exceptional communication skills to liaise effectively with clients and vendors.
