Overview
Role: Executive Assistant (Temporary) | Higher Education client based in Uxbridge
Duration: ASAP until end January 2026
Pay: 18.57 per hour
Location: Uxbridge
Hours: Monday to Friday, 9am–5pm. First 2–3 weeks 100% campus-based; then hybrid (3 days in office, 2 from home).
Responsibilities
* Provide executive administrative support to the Executive Dean(s), acting as the principal point of contact with internal and external stakeholders; respond with sound judgement and initiative.
* Manage the Executive Dean(s) diary proactively and sensitively, coordinating internal and external meetings with diverse stakeholders.
* Support college meetings and committees: prepare agendas, minutes, and papers; ensure papers are provided in advance; maintain the SharePoint committee site for designated committees.
* Ensure Executive Dean(s) have necessary briefings and information; coordinate travel arrangements and itineraries as required.
* Draft letters and emails, collate data, prepare presentations, and proofread/format documents as needed.
* Research and collate information to support the work of the Executive Dean(s).
* Manage projects delegated by the Executive Dean(s), ensuring timely completion.
* Handle HR and Finance tasks, ensuring accurate data in systems and liaising with Central Directorates as appropriate; utilise IT systems including CHIME, SharePoint, E-recruiter.
* Provide college-level support for high-profile events such as away days, VIP visits, and Graduation.
* Use CHIME to raise purchase orders and invoices.
Qualifications and Experience
* University undergraduate degree or demonstrate transferable skills if no degree (analytical, interpersonal, problem-solving, self-management) at an appropriate level.
* Evidence of relevant professional experience and ongoing development.
* Experience providing high-level EA support to a senior role including coordinating work schedules and information flow, diary management, handling confidential and sensitive information, managing high-profile visitors, and progressing work activities within professional guidelines and policy.
* Experience servicing committees and meetings; experience in the Higher Education sector or other regulated/complex organization.
