Job overview

An exciting opportunity has arisen for an Administrator within the Adult Autism Service, based in Barking & Dagenham. We are seeking a highly motivated and flexible Administrator to join the team.

The Adult Autism Service is a small and friendly team providing diagnostic adult autism assessments to clients across the four North East London boroughs of Barking & Dagenham, Havering, Redbridge, and Waltham Forest.

You will work closely with the Band 4 Senior Administrator to provide comprehensive and confidential administrative support to the team to ensure the smooth running of the service.

The postholder will be expected to work on a hybrid basis, with a mix of office based and home working.

Main duties of the job

The postholder will possess excellent administrative skills and maintain good working relationships with colleagues, other services/departments within the Trust, and external partners.

The postholder will demonstrate effective communication and the ability to prioritise workload, ensuring that work is completed in a timely manner.

Main duties include:

1. Managing the administration for the Post-Diagnostic pathway and supporting with the administration for the Pre-Diagnostic pathway and the Diagnostic Assessment pathway.
2. Processing referrals received into the service.
3. Booking appointments for face to face or online adult autism assessments.
4. Answering calls and managing the service inbox, responding to all enquiries promptly and professionally.

Starting with NELFT
NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers, and attend a number of drop-in sessions focusing on engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.

Probationary Period
This post will be subject to a probationary period.

High Cost Area Supplement - Outer London

This post also attracts payment for High Cost Area Supplement of 15%of the basic salary (minimum payment of £4,714 and a maximum payment of £5,941 - per annum, pro rata for part time).

Detailed job description and main responsibilities

5. Act as the first point of contact for clients.
6. Deliver a client focused administrative service by displaying a calm, friendly and helpful approach at all times.
7. Communicate effectively with a range of people via telephone, email, or face to face in a professional and courteous manner whilst recognising and overcoming barriers to communication.
8. Update patient records on RiO, entering client related information and care events.
9. Establish and maintain electronic and manual filing systems.
10. Prepare agendas, update actions, and take notes at team meetings.
11. Promptly respond to enquiries by telephone or email and take clear messages, passing them promptly to the appropriate member of the team using own judgement on urgency.
12. Handle complex calls and emails sensitively and appropriately, ensuring any complaints, problems or issues are escalated to the line manager or a senior staff member where necessary.
13. Prioritise own workload on a day-to-day basis to ensure that deadlines are met.
14. Manage incoming and outgoing post.
15. Book rooms for clinics and meetings as required.
16. Provide admin cover when needed, which may require occasional working at other sites.
