About the Role:
We are seeking a highly organized, efficient, and proactive Part-Time Administrator to join our administrative team at Dungavel Immigration Removal Centre. This is a key role where you will provide essential administrative support, ensuring the smooth and effective running of the centre's operations. The successful candidate will have a keen attention to detail, strong organizational skills, and proficiency in Microsoft Excel to handle various administrative tasks in a secure and dynamic environment.
This role is ideal for someone looking to work part-time (24 hours) in a challenging yet rewarding setting where you will directly contribute to the operational efficiency of the immigration system.
Key Responsibilities:
* Provide general administrative support to the management and operational teams.
* Assist with the maintenance of accurate records, filing systems, and databases.
* Prepare and update reports, spreadsheets, and other documents, ensuring they are accurate and up to date.
* Handle incoming calls and emails, responding to queries or directing them to the appropriate team.
* Arrange GP clinics and manage clinic schedules in coordination with healthcare professionals.
* Organise transport for patients, ensuring timely and secure arrangements in accordance with operational needs.
* Manage and prioritize a variety of administrative tasks and deadlines.
* Support the preparation of meetings, including scheduling, organizing agendas, and taking minutes.
* Ensure compliance with security protocols and confidentiality requirements in line with the centre's policies.
Essential Experience and Skills:
* Proven experience in an administrative role, ideally in a busy office or secure environment.
* Proficiency in Microsoft Excel, with the ability to create, update, and manage spreadsheets (e.g., data entry, formulas, pivot tables, and data analysis).
* Strong organizational skills, with the ability to manage multiple tasks simultaneously and meet deadlines.
* Experience with data entry and maintaining accurate records.
* Excellent communication skills, both written and verbal, with the ability to deal with sensitive or confidential information.
* High attention to detail and ability to work with precision and accuracy.
* Ability to work under pressure in a secure environment, adhering to procedures and policies.
* A team-oriented attitude, with the ability to collaborate effectively with colleagues across different departments.
Desirable Skills and Experience:
* Medical receptionist experience would be beneficial, especially in a healthcare or secure environment, providing familiarity with managing appointments, handling confidential medical records, and communicating with healthcare professionals.
* Previous experience working within a secure environment, such as a detention centre or immigration facility.
* Familiarity with case management systems or similar software used in administrative roles within secure settings.
* Understanding of immigration procedures and regulations (though not essential, this will be an advantage).
* Ability to adapt quickly to changing priorities and tasks in a fast-paced environment.
