Hours of work Monday-Friday 9am-5pm and 1 in 3 Saturday mornings (with some flexibility and time off in lieu).
We are looking to appoint an enthusiastic and confident full time Receptionist with excellent customer service skills and good administrative skills. This is a challenging role that requires the ability to multi task and adapt to different circumstances. The successful candidate will be able to keep calm under pressure whilst being able to deal with clients in an sympathetic manner, and will be a good team player involved in all aspects of our company.
We are a sociable and friendly team who are focused on giving their all every day whilst also achieving a great work-life balance. The current team consists of 5 vets, 1 receptionist and 2 administrator/animal assistants.
Applicants should ideally have at least 1 years' experience in a busy customer facing role. Ideally you will have had experience in a veterinary practice, but this is not essential. IT skills are essential, including experience using Word, Excel and Outlook/Gmail.
Tasks
* Front of house welcoming clients and patients into the practice.
* Answering phone calls, scheduling appointments, and managing the appointment diary.
* Responding to client inquiries,due to the specialist nature of our work duties would also include the preparation of health certificates and supporting documents required for pets travel prior to certification by the vet and providing a source of knowledge to our clients regarding the veterinary requirements for travelling pets to both owners and agents by phone and email. Full training would be provided by our experienced staff.
* Effectively explaining practice services, procedures, and policies.
* Processing payments, managing billing and debt.
* Maintaining accurate client and patient records.
* Client interactions through our Pets App to facilitate online booking systems and requests.
* Distributing patient laboratory results to the veterinary team.
* Communicating with veterinary staff and other team members to ensure smooth workflow and coordination of patient care.
* Ordering medical stock and supplies.
* Assisting our health and safety officer with alarm testing and compliance with current regulations.
* Assisting with other administrative tasks as needed.
* Animal restraint for pre flight checks and blood sampling.
Basic book keeping of outgoings and expenses and invoicing with the use of alongside our Practice Management System (Ezyvet) would be needed but prior experience not essential.
In addition to the above your role would also include animal handling in the form of assisting the vet with pre flight examinations of the pets and restraint in some cases so good animal handling skills and confidence with companion animal species mainly dogs and cats would be required.
