Job Title: Office Administrator - Hampshire Transport Workshops Location: Petersfield Contract Type: Temporary - 3 months Salary: £14.40 per hour Hours: Monday - Thursday 08:00 - 16:00 Friday 08:00 - 15:30 Job Purpose The Office Administrator plays a key role in ensuring the smooth and efficient running of Hampshire County Council's Transport Workshops. This role supports a busy vehicle workshop environment by delivering high‑quality administrative, financial and customer service functions. You will act as the first point of contact for internal and external customers, maintain accurate systems and records, support purchasing and invoicing processes, and contribute to continuous improvement across the workshops. Customer Service & Enquiries Act as the first point of contact for workshop‑related enquiries, providing timely and accurate responses. Communicate clearly with customers, colleagues and stakeholders. Critically assess customer information and enquiry journeys to ensure efficient resolutions. Administrative Support Undertake a wide range of administrative tasks including filing, photocopying, scanning, post handling and meeting set‑up. Input and maintain accurate data on electronic systems and databases Prepare routine correspondence and documentation Support continuous improvement by reviewing processes and suggesting refinements. Financial, Data & Procurement Activities Order goods, process invoices and recharge customers using the fleet management system and Hampshire County Council financial systems Handle financial transactions in line with County Council policies Use data sources to verify information and ensure accurate financial processing. Maintain accurate workshop records, registers and data logs. Teamwork & Collaboration Support colleagues across the Business Support team and the wider Hampshire Transport Management Service Work independently and as part of a team, demonstrating flexibility and motivation. Build effective working relationships across Hampshire County Council. Essential Qualifications Good standard of general education, including GCSE Maths and English (A-D or equivalent). Desirable Qualifications Level 2 qualification in Customer Service or Business Administration (or equivalent). Essential Knowledge, Skills and Experience Experience in a fast‑paced, customer‑focused environment. Strong written and verbal communication skills Good IT skills, including Microsoft Office (Word, Excel). Ability to extract and analyse information using digital systems. Experience in handling enquiries. Ability to work with minimal supervision and manage own workload Strong organisational and prioritisation skills Desirable Knowledge, Skills and Experience Commitment to personal development. Knowledge of Transport Services, Fleet or Local Government processes. Full valid driving licence.
