The Student Success Center at Northern State University is seeking a detail-oriented and organized administrative assistant to provide exceptional clerical support. This role is essential to ensuring the smooth day-to-day operations of the Student Success Center while providing excellent service to students and others. The position will support department operations and events. The Student Success Center (SSC) is a broad department providing multiple academic resources; the SSC also hosts several student workshops, career fairs, and peer-success mentoring programs. Candidates must be able to manage requests and needs from various department units successfully and efficiently. This position will execute and oversee all purchasing tasks for the department and will be responsible for accurate data keeping and other activities to ensure accuracy in grant and other reports.
General Duties:
* Establishes and maintains computerized and manual filing systems; follows standard filing procedures for correspondence, forms, and other documents to ensure accurate storage and retrieval capabilities.
* Ensures accurate and permanent records for federal grant programs are maintained.
* Completes travel arrangements and schedules appointments to ensure necessary arrangements are made.
* Requests and manages all purchase requests and contracts for the department. Maintains records of fiscal activities to track expenditure of allocated funds, and incoming fees and other revenues.
* Monitors catering requests and scheduling approvals; partners with departmental staff and directors on events and special projects.
* Records, transcribes, and distributes meeting minutes to provide detailed records of proceedings and decision-making.
* Composes and generates letters, memos, reports, and forms, ensuring accurate documents.
* Responds to requests or questions regarding program operations; schedules and organizes follow-up appointments and meetings.
* Collaborates enthusiastically with other campus units to ensure the success of the department and to best serve students.
* Assists with communication platforms to help engage students and various campus partners.
* Hires, trains, and supervises front desk student workers.
Qualifications:
The successful candidate must be a self-starter with a high level of maturity; demonstrate a positive, helping attitude; be dependable; and possess strong communication and problem-solving skills. The candidate should be very organized, able to multi-task and prioritize responsibilities, and willing to learn new software platforms. Knowledge of computer applications including Outlook, Word, and Excel is required. Academic background and/or work experience in education is preferred. A college degree is preferred.
