The role: Technology & Reporting Contract Support

The purpose of this role is to support the Gateway and Operational Teams with administrative activities, system support, and data management to enable effective delivery across the JLP account. The role will assist with the coordination and maintenance of key data, systems, and processes, ensuring accuracy and consistency whilst supporting day‑to‑day operational requirements.

The ideal candidate will be highly organised, detail‑oriented, and proactive, with a willingness to learn and develop their understanding of systems, reporting, and processes. The role will also encourage the individual to contribute ideas and suggestions to improve ways of working and drive efficiencies across the team.

This role supports the delivery of data, system, and process activities across the account whilst ensuring quality and accuracy of information. The role works closely with the Data & Reporting Analyst, CMMS/IFM Hub Admin teams, and wider stakeholders, and interfaces with other account functions.


Key Responsibilities

* Supports the delivery of administrative activities across the team to ensure efficient day‑to‑day operations and service delivery.
* Assists with the collection, input, and maintenance of data across systems (including IFM Hub, CMMS, and reporting tools), ensuring accuracy and consistency.
* Supports the management of incoming requests, including logging, tracking, and updating progress across relevant systems (e.g. ServiceNow, shared forms, or trackers).
* Assists with the preparation and updating of reports, dashboards, and performance data to support business decision‑making.
* Works with the Data & Reporting Analyst and wider team to gather and validate data used in reporting and performance management.
* Supports process documentation by maintaining user guides, training materials, and standard operating procedures.
* Assists with system‑related activities such as user queries, onboarding/offboarding tracking, and basic issue triage and escalation.
* Provides general support to team members to reduce administrative burden and improve overall team efficiency.
* Contributes to process and solution improvements by identifying opportunities to simplify tasks, improve workflows, and enhance user experience.
* Supports continuous improvement initiatives, including automation opportunities, improved reporting methods, and enhanced system usage.
* Assists in coordinating and documenting meetings, actions, and follow‑ups where required.
* Support or facilitate meetings via Teams or face‑to‑face for client and internal audiences up to senior level.


Person Specification

* Excellent relationship‑building skills with strong influencing capability and people‑engagement experience.
* Ability to work under pressure and to deadlines, within a multi‑disciplinary team.
* Strong analytical and data management skills and capability, able to present persuasive arguments with data and identify opportunities for improvement.
* Proficient in the use of MS Applications specifically Excel, Visio, PowerPoint, Word.
* Experience in the use of Smartsheets.
* Experience in the use of Tableau / PowerBi advantageous.
* Experience in supporting the delivery of operational business improvement, continuous improvement and process implementation and development.
* Strong influencing and communication skills, with proven track record stakeholder relationship management.
* Excellent ability to prepare clear and concise documents.
* Calm and measured manner, able to work under pressure against demands and priorities using own initiative.
* Must be flexible to work outside core office hours from time to time, and able to travel on occasion to other work locations.
* Experienced in working with databases.
* Able to drive change.
* Quick learner.
* Organized, able to work independently and effectively manage workload.
* Attention to details with a strong focus on accuracy.
* Good communication skills (written and verbal).
* Strong analytical and planning skills.
* Highly self‑motivated and showing initiative.
* Good team player.
* Good time management skills.
