This role supports both brands (approx. 70% tailormade / 30% group travel).
Location & Working Pattern
Hybrid role – 3 days per week in Hereford office
Option to work from Ludlow office 1 day per week / fortnight
First 3 months full-time office-based (training & probation)
Potential for UK-wide remote flexibility after probation
Standard hours: Monday–Friday 9:00–17:00
Occasional evenings/weekends during tours or events (TOIL provided)
Ideal Candidate:
You are highly organised, detail-driven and confident in managing bookings independently. You understand supplier processes, payments and documentation requirements, and can spot errors before they become problems. This role suits someone ready to step into a growing company with more ownership and variety.
Core Responsibilities
Managing all operational elements of bookings from confirmation to final documentation
Processing supplier invoices and loading to PTS (Protected Trust Services) accurately and on time
Booking and managing reservations via eTrip Agency and suppliers
Maintaining booking accuracy in HubSpot CRM and Travelgenix
Liaising confidently with clients and suppliers
Monitoring supplier performance and ensuring minimum standards are upheld
Supporting crisis management when required (schedule changes, supplier issues, disruptions)
Assisting with contracting new suppliers and updating existing product where needed
Ensuring ATOL compliance and documentation accuracy
Supporting delivery of group tours and hosted departures

HubSpot CRM
Travelgenix (website & mid-office)
eTrip Agency reservation system
PTS payment platform
Microsoft Business Suite
Experience Required:
Minimum 2 years' experience as an Operations Executive
Experience within a travel agency or tour operator is essential
Experience handling multi-centre or long-haul bookings preferred
