The Operations Services Manager (OSM) supports the Adult Services Manager by overseeing daily operations for a county team. This role is responsible for managing staff and participant schedules, payroll, time-off requests, and compliance monitoring. The OSM serves as the primary point of contact for staff, families, agencies, and community partners regarding daily operational matters. The OSM provides backup job coaching and drop-in support as needed (up to 50% of your time).
This role requires strong organizational skills, flexibility in a dynamic work environment, and the ability to handle multiple responsibilities while maintaining excellent service delivery.
This is a full-time salary position with flexible scheduling, which may include nights, weekends, and holidays. Travel to other locations is expected. The OSM may occasionally perform tasks outside the normal scope of their role, as assigned by management.
KEY RESPONSIBILITIES
Understand and Support the Agency’s Mission and Treatment Philosophy
* Treat participants, families, and colleagues with respect and courtesy.

* Exhibit a deep understanding of the backgrounds, strengths, and needs of participants and families.
* Serve as a liaison with the community, representing the agency’s mission and commitment to respectful and dignified treatment.
* Participate in agency functions and fundraising events, contributing to the agency's culture of collaboration and community engagement.
Service Delivery Management
* Collaborate with management team on participant schedules, manage and ensure that participant schedules are compliant with service requirements.
* Optimize service delivery by continuously identifying and implementing opportunities to improve service delivery and manage resources efficiently.
* Actively contribute to participants' service planning meetings, helping shape individualized service plans.
* Provide backup support and step in as a job coach, offering drop-in support as necessary to ensure uninterrupted service delivery.
* Ensure that all schedule changes are communicated daily to relevant parties in a timely manner.
Leadership and Team Management
* Support the Adult Services County Coordinator in interviewing and selecting new staff members.
* Guide, train, and monitor new Direct Support Professionals (DSPs) during their first 90 days to ensure successful integration.
* Oversee staff timesheets and approve time-off requests to ensure accurate payroll and staffing coverage.
* Create and maintain weekly staff schedules, ensuring optimal service delivery and coverage.
* Train staff on database systems, ensuring that documentation such as timesheets and daily logs is accurate and up-to-date.
* Organize and coordinate social and recreational activities for participants, enhancing engagement and experience.
* Collaborate with the Adult Services Manager in conducting staff performance evaluations to ensure continuous improvement and development.
Documentation Management
* Update and monitor participant Individual Service Plan (ISP) goals and ensure all related documentation is current and accurate.
* Ensure timely and precise reporting in key service areas, including utilization, staffing levels, and data collection.
* Prepare necessary documentation for applicant reviews, participant assessments, and related evaluations.
* Provide support to other services as needed, ensuring smooth and efficient operations across departments.
Community Engagement
* Work closely with county teams to address and resolve any concerns with community partners, ensuring smooth and effective service delivery.
* Assist in developing new community partnerships while maintaining and strengthening existing relationships for long-term success.
* Support and participate in events that promote the program both internally and externally, enhancing visibility and community involvement.
* Organize participant transportation and assist as needed with transportation needs.
* Ensure that services adhere to community partner standards, fostering positive relationships and ensuring participant satisfaction.
QUALIFICATIONS
1. High school diploma required; Bachelor’s .
2. Must be 21 years or older.
3. Pass background checks and drug screenings.
4. Valid Driver’s license, auto insurance and favorable driving record
5. Strong oral and written communication skills.
6. Excellent organizational skills.
7. Basic knowledge of vocational services.
8. Skill in coordinating participant schedules and activities.
QUALIFICATIONS FOR CONTINUED EMPLOYMENT

4. Leadership and management training
5. Ensures a safe and hazard-free work environment, addressing risks and concerns promptly.

7. Completion of LEAD training or equivalent manager training.

PHYSICAL REQUIREMENTS

The job may also involve assisting participants with pool activities and exercise routines.
