Overview

JOB TITLE: Assistant Building Supervisor

REPORTS TO: School Principal

RESPONSIBLE FOR: Assisting the building supervisor in the supervision of staff which may include normal administrative processes.

JOB PURPOSE: Assist the building supervisor with on site supervision, cleaning and non-cleaning services, in accordance with the practices and procedures of the Education Authority.


Responsibilities

* Security
o Security of the premises (including school meals accommodation) and its contents.
o Open and close the premises and grounds, except where authorised otherwise.
o Ensure that all windows are closed, doors and gates are locked at the end of each day.
o Safe custody of keys of the premises and allocation to cleaning staff where appropriate; keys used by cleaning staff returned daily.
o Operate and monitor security camera system and store used tapes where appropriate.
o Operate fire alarm, burglar alarm and building security systems and report faults.
o Attend after-hour break-ins and vandalism, ensure premises are secure and cleaned when clearance is given, and report any unauthorised entry or damage.
o During normal hours report suspicious activity to the designated line manager to ensure a safe working environment.
o Report any breach of security, including the finding of used needles or suspicious illegal substance use, in accordance with Education Authority policy.
o Apply grit/rock salt in snow/frost conditions to keep pathways and entrances clear.
* Mechanical and Electrical Services
o Efficient operation of the boiler/heating system in line with Education Authority policy.
o Lighting and heating, routine maintenance of plant, including school meals accommodation where applicable.
o Ensure adequate fuel is requisitioned in good time.
o Monitor and document usage of fuel, water and electricity.
o Replace lamps, tubes and plugs to safe working height as required.
o Inspect and report defects on firefighting equipment.
o Chemically dose, clean and maintain water levels of any swimming/hydrotherapy pools.
* Cleaning
o Clean the premises except the accommodation used solely for school meals.
o Plan, organise and control the work of cleaning staff (if appropriate) and undertake cleaning duties personally.
o Plan periodic work with service users and report plans to the designated line manager.
o Recommend and implement changes to improve economy, standards or ease of operation.
o Monitor materials and equipment suitability and advise on appropriate use.
o Ensure external surfaces, drains, gullies and kitchen grease-traps are clean and free flowing.
o Wash bins and dispose of litter daily; provide ongoing cleaning for spillage, floods, mid-day toilet cleaning and weather-related issues.
o Replenish toilet rolls, soaps, towels and other requisites as needed.
o Inspect sandpits, remove and replace sand as needed; maintain paddling pools as directed.
o Clean external signs, light covers and notices up to 3.35 m.
o Clean non-electrical fittings on portable heating/ventilation equipment.
o Ensure adequate supplies of materials and equipment within budget; report defects in cleaning equipment.
o Prepare premises for after-school activities and clean for normal use.
o Direct and clean internal fixed glass surfaces up to 3.35 metres with appropriate equipment.
o Ensure cleaning staff wear personal protective equipment and/or workwear when provided.
o Ensure cleaning standards meet Education Authority standards; investigate complaints as appropriate and take corrective action.
* Porterage
o Receipt and transport of stores, materials and goods including school meals and milk materials.
o Despatch laundry, goods and other materials from the building.
o Assist with setting out/removal of tables and chairs where part of the premises is used for food and educational purposes; clean the room as required.
o Transport refuse bins to and from collection points.
o Prepare rooms for examinations and other purposes.
* Administration
o Prepare reports on cleaning and any premises defects (internal and external).
o Organise employment of outside contractors as authorised and monitor their presence and performance.
o Complete all paperwork and writing of reports as required.
o Maintain records of consumable stocks and equipment inventory.
o Report defects in electrical floor equipment and keep records of repairs; ensure equipment is cleaned and stored safely.
o Maintain staff attendance, holiday and absence records as required.
* Handyperson Duties
o Within the competence of the post-holder.


General Conditions

All duties must comply with: Health and Safety at Work (NI) Order 1978; Acts of Parliament, Statutory Instruments and Regulations and other legal requirements; COSHH Regulations; Codes of Practice.


Training

* Assistant building supervisors will accept training for duties up to and including their own grade, and for higher-level duties if required by the authority; payment will be made where required.
* Assistant building supervisors will carry out induction and refresher training of cleaning staff (if appropriate), keeping a record of such training.


Elections

* In the event of a school being used for elections, duties related to elections will be carried out as determined by the joint negotiating committee. Copies of the exact duties will be issued when required.


Other Duties

* Falling within the purview of the grade as required.
