The department operates as a profit centre within the Lancing College Enterprises (LCE) business domain. This encompasses several business streams that deliver critical revenue and profit, including a mix of holiday and general lettings, camps, the College shop and events such as weddings, concerts and conferences.
Job Title: Commercial Coordinator
Reporting to: Commercial Director
Key Tasks and Responsibilities
* Coordinate with prospective clients or agents to provide background information, discuss costs with the Commercial Director and client, and issue the household paperwork for Lancing College and Prep Schools (including the "Agreement of Hire").
* Collate all required documentation (KCSIE policies, public liability insurance, risk assessments and any other documents required).
* Manage bookings and changes, operating the online booking systems for all rooms and services (including subcontractors, rooms, transport and facilities as required).
* Issue regular lettings communications to all schools and Heads of Departments.
* Hold regular meetings with clients in advance of their stay and arrange meetings with Heads of Departments as required (e.g., Director of IT, Catering Manager, Grounds Manager, Estates Bursar).
* Ensure effective communication with House Mistresses/Masters and Matrons regarding requirements per boarding house during lettings.
* Provide clients with an itinerary that includes room and bed lists prior to arrival.
* Provide Child Protection training to Lettings staff and arrange Health & Safety training.
* Ensure compliance with the College’s policies, actioning paperwork appropriately and providing weekly updates to Heads of Departments.
* Report faults and damages via the fault reporting system (FRS) and follow up as required; liaise with the Centre Manager and Welfare Manager regarding concerns; liaise with the College Designated Safeguarding Lead (DSL) to ensure safeguarding procedures are observed.
* Collaborate with the Holiday Day Camp Activity Leader to support delivery and collate weekly timesheets for Payroll.
* Monitor income and progress against targets; support recruitment and selection with Human Resources and the Commercial Director for all staff related to Commercial activities.
* Identify new opportunities for development of Commercial services and work with the Commercial Director to scope and deliver them; liaise with the College Marketing department regarding promotion of Commercial services.
Skills and Experience
* An interest in developing a career in commercial enterprises.
* Experience providing general and financial administrative support to projects and initiatives.
* Strong organisational and coordination skills, with experience in project management and coordination.
* Logistical management experience.
* Strong customer service and interpersonal skills; ability to influence and collaborate with others.
* Familiarity with Microsoft Windows and Office applications (Word and Excel).
* Can-do attitude and ability to work under pressure in a flexible department.
* Previous experience providing support at a Day Camp or similar setting; international summer school operations management; knowledge and understanding of data management and security.
