Legal Administrative Assistant \n\nJob Title: Legal Secretary - full time, permanent role \n\nHours: 9:00-5:30\n\nLocation: London\n\nDepartment: Private Client\n\nJob Purpose: Assist Private Client Fee Earners in day-to-day business\n\n­­­­­­­­­­­­­­­­­­­­­­­­­­­­­­­­­\n\nKey Tasks\n\nReporting to Private Client Partner and other Private Client Fee Earners as appropriate.\n\nThe main tasks and responsibilities of the role include but not limited to:\n\nScanning post & filing scanned docs to correct client matter. Giving hard copies to fee earner and filing when required\nOpening both electronic, and when required, paper files\nPreparing retainer letters and sending same\nCompleting AML procedures\nChecking client bank account daily and preparing and filing yellows\nBooking/rescheduling appointments for fee earners\nChasing clients for missing documents/responses\nLiaising with HMRC and HMCTS when required\nAnswering telephone calls when receptionist and administrator are not available\nDealing with out-going post as and when required\nMaintaining well-organised digital and physical files in line with firm protocols and data protection requirements\nUpdating internal systems to reflect current case status, deadlines, and task.\nMeeting and Greeting visitors, as and when required (providing refreshment if required)\nPreparing and updating Probate Schedule spreadsheet\nPreparing and submitting Probate closure forms\nPreparing and maintaining fee earner file lists\nAssisting in the preparation of estate accounts, letters to beneficiaries, and notifications to banks, HMRC, and other organisations.\nCommunicating with banks, utility companies, pension providers, and other relevant institutions to obtain valuations and settle liabilities.\nTracking estate finances including bank accounts, investments, debts, and expenses during administration.\nCoordinating with agents or clearance companies for property-related tasks.\nActing as a point of contact for beneficiaries and executors, providing updates and responding to queries professionally and promptly. \n\nKnowledge & Skills Required\n\nAdept at working with Microsoft Word and Excel packages and Outlook\nLimited knowledge of Microsoft office and specific bespoke software\nLimited understanding of Probate - training may be required\nLimited understanding of Private Client work - training may be required\nWriting and maintaining attendance notes - training may be required\nListening skills\nGood telephone manner\nGood communication skills\nGood writing skills\nGood organisations skills\nBe flexible\nAttention to detail and accuracy is essential\nStrong administrative and organisational skills\nHigh attention to detail and accuracy\nAbility to work independently and as part of a team\nDiscretion and confidentiality in handling sensitive client matters\nAble to prioritise effectively, meet deadlines, and manage workload under pressure.\nDemonstrates initiative and a strong work ethic, with a willingness to take ownership of tasks.
