North Tyneside Therapies Service is seeking to appoint an enthusiastic and motivated Administrative Assistant to provide a wide range of clerical support to our team.
Key Responsibilities:
1. Handling queries via telephone, face-to-face, and online from staff, patients, and healthcare professionals, including transferring calls and recording information accurately.
2. Logging referrals from various sources and managing appointment bookings using computer systems.
3. Sending correspondence to patients and healthcare professionals via post and email.
4. Assisting with sorting and distributing incoming and outgoing mail.
5. Maintaining accurate records of goods and services, supporting service development and audit through other IT systems.
6. Contributing to the review, redesign, and evaluation of administrative systems and processes.
7. Managing electronic diaries, filing systems (manual and digital), and supporting data entry onto databases and patient records.
8. Supporting stock control and maintaining stationery supplies.
9. Attending mandatory training and working flexibly to cover staff absences.
Qualifications and Skills:
* Experience working in a fast-paced office environment.
* Excellent communication skills face-to-face, virtually, and over the telephone.
* Proficiency in MS Office packages and IT skills.
* Ability to prioritize workload and respond quickly to urgent queries.
* Resilience to handle sensitive and distressing information.
Working Hours:
* Monday: 9am - 5pm
* Wednesday: 9am - 5pm
* Thursday: 11.30am - 7.30pm
The post holder must be willing to work flexibly to cover staff absence. Daily tasks include using the telephone and computer simultaneously, dealing with queries, booking appointments, and maintaining records.
