Overview

Applications are invited for two permanent, full-time Administrative positions within the North Wales Medical School. These roles support the Medicine and Pharmacy programmes, with a primary focus on assessments including clinical practice examinations and written assessments. The role requires flexibility to contribute to other areas of programme delivery as needed.

Location: on campus at Bangor. Applications to carry out this role on a part-time or job share basis will be considered.

Salary: £24,344 - £26,338 p.a. (Grade 4). Contract: Permanent. Closing date: 16 October 2025. Reporting to: Assessment and Data Officer.

Responsibilities

* Provide essential administrative support across a range of areas, with a primary focus on assessments (including clinical practice examinations and written assessments).
* Support the organisation of written and clinical exams: booking venues, coordinating staff and examiners, patients/actors, and written question bank support.
* Provide in-person support for scheduled assessments.
* Assist with generation of marks, recording marks, and production of feedback to students.
* Process high-volume transactions and follow defined procedures related to examinations and assessments, prioritising and meeting deadlines.
* Contribute to the development and adherence to service standards.
* Respond to information requests from students and internal/external customers in person, by phone, or by email, escalating where necessary.
* Maintain electronic information systems including databases, virtual learning environments and handbooks.
* Organise meetings, draft agendas, prepare papers, take minutes, and circulate as appropriate.
* Collaborate with others to improve established processes and procedures.
* Establish working relationships with key contacts to improve service levels and communication with University Schools/Directorates and external bodies as required.
* Support the administration of the Medicine and Pharmacy programmes as part of the wider team; participate in School events (assessments, graduation, recruitment and admissions events) which may include working outside normal hours.


Qualifications

* Educated to GCSE level or NVQ level II in a relevant subject, or equivalent experience.
* Demonstrated accuracy and attention to detail; excellent organisational and administrative skills.
* Ability to communicate effectively in Welsh (verbal and written) is essential for this role.


Experience and Knowledge

* Experience of working in an office/administrative environment.
* Experience of handling queries and communicating professionally with a wide range of people.
* Understanding of processes, procedures and standards.
* Experience of organising meetings and taking minutes.
* Ability to maintain confidentiality and understand GDPR requirements.
* Recognises when to involve others and understands the needs of a culturally diverse staff and student body.


Desirable

* Experience of planning and organising events.
* Experience of data entry and record keeping.
* Basic understanding of academic regulations and procedures.


Skills and Abilities

* Proficient in Microsoft Office applications (Word, Excel, Teams, etc.).
* Accurate data entry and attention to detail.
* Excellent organisational skills and ability to manage a varied and time-critical workload.
* Good communication and interpersonal skills, with ability to communicate effectively both verbally and in writing.
* Ability to work with policy, procedures and service standards; proactive in identifying improvements.
* Welsh language ability to write emails in Welsh to various audiences is essential.
