Academic Registrar
Salary: £30,000-£45,000 (depending on experience)
Contract: Full‑time, 37.5 hours per week (Monday-Friday, 8:30am-5pm)
Reports to: Assistant Head (Examinations & Data)
Pension: Local Government Pension Scheme available
Annual Leave: 25 days, rising with length of service
About the Role
We are seeking an exceptionally organised and calm Academic Registrar to lead and coordinate all aspects of internal and external examinations, data administration, and assessment processes within the school.
This is a key role requiring excellent multitasking skills, strong communication, and a high level of discretion. The postholder will work closely with senior leaders, teaching staff, exam boards, and external stakeholders to ensure the effective and secure delivery of all assessment activities.
The school's Management Information System is Arbor, and the successful candidate will need strong technical and analytical skills to support data processes and reporting across the organisation.
Key Responsibilities
1. Curriculum Administration
Line manage designated staff, providing cover where needed.
Support administration of course options from Third to Fourth Form, including preparing information packs and processing choices.
Support Fifth to Sixth Form course administration and production of course materials.
Produce the annual Teacher Planner.
Assist senior staff with the development and production of the school timetable.
2. Assessment & Examinations
Oversee the smooth running of all public and internal examinations, including KS2, KS3, GCSE, AS, A‑level and other assessments.
Prepare exam timetables, entries, candidate information, and internal assessment arrangements.
Manage accommodation, invigilation, and communication with exam boards.
Ensure secure handling, storage, and distribution of examination materials.
Process exam results, including preparation of spreadsheets, reports, and analysis.
Manage applications for special arrangements, special consideration, and post‑results services.
3. Data Management
Maintain accurate, secure class and examination data.
Implement the assessment calendar and manage internal reporting systems.
Produce data extractions, reports, and analyses for senior staff, including self‑evaluation metrics.
Support the creation of reporting structures within Arbor and generate pupil reports.
Maintain tracking for behaviour, academic performance, and weekly reports.
Manage statutory data returns, including School Census and CES.
Assist in validating and producing statutory returns for local and national bodies.
Create the annual Outlook Calendar for staff.
Import and manage predictive datasets (e.g., NFER, YELLIS, ALPS, ALIS).
4. Additional Duties
Attend Heads of Department meetings.
Hold a First Aid qualification and take part in the duty rota (outside public exam periods).
Perform other tasks as reasonably directed by senior leadership.
Person Specification
Essential:
Excellent organisational and multitasking abilities.
Strong IT proficiency, including Word, Excel, Outlook, and data systems.
Ability to manage confidential data with absolute discretion.
Confident communication skills to liaise with staff, students, parents, and external organisations.
Calm, methodical approach to working under pressure-especially during exam seasons.Desirable:
Experience with Arbor MIS (or ability to learn quickly).
Previous experience in examinations administration or data management within education.
