Job Description:
Dimensional's Legal division is an in-house team of client-focused attorneys, paralegals, and legal assistants who partner with internal and external teams to help provide legal expertise across business functions, legal systems, and jurisdictions.
The Legal Administrator will be responsible for providing administrative, clerical and other support to the European Legal team. The Legal Administrator will work with lawyers and other team members employed by or providing services to Dimensional UK and may work autonomously as well. The Legal Administrator will work closely with the business and with various specialist teams within the global legal team located in the US and Ireland.
Responsibilities
1. Assistance with co-ordination of reviews of board agendas and materials for UK and Irish entities. Manage quarterly board meeting logistics, which includes coordinating with the technology team for virtual components, working with paralegals and attorneys in order that board materials are prepared and uploaded to Directors in a timely and efficient manner, and interacting with board members internal teams and external service providers as needed.
2. Assist with preparing, revising, and compiling materials for board meetings and related records. Handle follow ups from board meetings as needed.
3. Navigate the Legal group’s document management system, take document revisions, control versions, and redline to show changes.
4. Assist with document execution and co-ordination with executives and arrange for filing of signed documents and letters. Assist with filing and related project work as needed.
5. Manage calendars proactively, including coordinating schedules with other staff for Board meetings.
6. Serve as a local administrator for the legal spend management system, which may include coordinating with outside firms and internal partners to open new vendor and matter entries; assessing invoices according to standard billing guidelines; processing allocations to internal matters for cost tracking and reporting; and replying to vendor requests as needed.
7. Manage corporate recurring and annual items lists and co-ordinating with other team members to complete recurring items.
8. Assistance in relation to general corporate and operational matters, and related filings (e.g. with UK Companies House).
9. Assist with requests for materials in relation to controls and financial audit.
10. Co-ordinate reviews of mandate classification for “CASS 8” purposes.
11. Liaison and co-ordination with the global legal team members as needed.
Qualifications
12. Direct work experience working at a law firm, or supporting senior attorneys, executives, or boards of directors is desirable.
13. Bachelor's degree, or equivalent, required.
14. Experience with legal spend management, document management, document comparison, and Board materials systems preferred.
15. Demonstrates excellent attention to detail.
16. Appreciates the importance of taking appropriate care of privileged and confidential matters.
17. Self-starter who can manage multiple time-sensitive projects and meet deadlines.
18. Strong time management, organizational, and communication skills (verbal and written).
19. Able to work productively in a team environment; experience with a hybrid office and work-from-home environment preferred.
20. Technical fluency, including proficiency with Microsoft Office Suite & other legal technology (ebilling, legal document repository, etc.), as well as a willingness & ability to learn and adapt to new technologies.
