I am looking for an experienced Office Manager for a dynamic and friendly, very high-end boutique Property Development/Management/Interior Design and Real Estate Advisory firm.
Their portfolio includes high-quality residential properties, and their services span property management, real estate advisory, development management, and interior design.They pride themselves on providing a discreet, professional, and personalised service to high-net-worth individuals (HNWIs) and their families.Ideally, you will have property experience, but this is not essential.The role is very varied, a combination of Senior Office Manager, Administration, Operations and also with Front of House responsibilities, to oversee the smooth running of the office while also managing wider business operations.This role is central to ensuring the firm meets its statutory and compliance obligations, provides exceptional client service, and supports the team’s HR and administrative needs.The successful candidate will combine the polish and professionalism of a client-facing receptionist with the operational acumen of an office manager and the rigour of a compliance coordinator.This is a unique opportunity to take ownership of the firm’s day-to-day functioning, ensuring that it operates at the highest standard across client service, compliance, and internal operations.Office Management & Operations •Oversee the daily running of the office, ensuring efficiency across a small but high-performing team.•Manage supplies, equipment, contractors, and office facilities.•Liaise with IT and systems providers to maintain smooth operations.•Ensure health and safety compliance within the office environment.•Contribute to marketing objectives such as brochures, website and managing social media accounts.Compliance & Statutory Obligations •Oversee compliance with Anti-Money Laundering (AML) and Know Your Client (KYC) procedures.•Maintain and renew statutory memberships, including Client Money Protect, Property Redress Scheme, and insurances.•Keep compliance documentation, policies, and registers up to date and audit-ready.•Act as a point of contact for regulatory queries and ensure internal processes meet industry standards.HR Support •Assist with recruitment coordination, onboarding, and induction for new starters.•Maintain HR records, contracts, and leave schedules.•Support performance management processes and employee well-being initiatives.•Liaise with external HR and legal advisers as needed.PA & Administrative Support •Provide diary management, travel coordination, and ad hoc assistance to the CEO and wider team.•Support preparation of reports, presentations, and business correspondence.•Assist the property management and advisory teams with compliance-related checks and administrative tasks.Front of House / Reception •Greet and host clients and visitors with discretion and professionalism.•Manage phone lines, meeting rooms, and front-of-house presentation.•Handle incoming/outgoing post, deliveries, and couriers.Skills & Experience & Personal Attributes •Significant experience in an Office Manager, Operations Manager, or Compliance/HR-focused role within property, professional services, or a boutique firm.•Any experience with compliance frameworks, including AML and KYC, is welcome.•Exposure to HR processes (contracts, recruitment, onboarding, policies).•Highly organised, detail-oriented, and proactive with strong problem-solving skills.•Polished communication skills and confidence in dealing with HNW individuals.•IT literate (MS Office Suite essential; CRM/property software advantageous).•Professional, approachable, and service-oriented.•Strong sense of integrity and discretion when handling confidential information.•Ability to balance front-of-house polish with operational rigour.•Hands-on, pragmatic, and proactive approach to office and compliance challenges.•Enjoys working in a boutique environment with high standards of service.
