Main Purpose of the Role:
You will provide the team and the wider Department with the administrative support they need to deliver seamless legal services to clients and help them maximise the time they can spend on client work.
Daily Duties:
* Providing Paralegal support to the team.
* Dealing with Wills, general legal correspondence and assisting with the administration of Estates.
* Proof‑read all documentation and make any amendments before being handed to the Solicitor.
* Extensive client liaison – dealing with general queries via telephone on behalf of the Solicitors, taking accurate telephone messages and, where possible, acting thereon.
* Diary Management.
* Ensure all information on the database is completed and accurate.
* Preparation of documents, including Court Bundles for Solicitors and Counsel.
* Diary management – ensure all appointments are diarised, and the Partner does not miss any dates, deadlines or tasks.
* Responsible for closing, archiving and retrieval of files.
* Having direct client contact via telephone, email and face‑to‑face.
* Ensure all relevant documents and enclosures are attached to the correct file before posting.
* Working under pressure to meet tight deadlines.
* At all times, comply with all relevant legislation and regulations as directed by the firm (e.g. client confidentiality, anti‑money laundering, Solicitors’ Regulation Authority and The Law Society rules, Solicitors’ Accounts Rules, Data Protection Act, etc.).
* Ensuring departmental systems and firm‑wide procedures are followed.
Person Specification:
* Minimum of 6‑12 months of private client experience.
* Well organised with good IT and Administration skills.
* Excellent knowledge of Microsoft Office.
* Have an excellent telephone manner.
* Excellent communication skills.
* Team player.
* Take ownership of your workload.
* Ability to work under pressure to set deadlines.
* Willingness to work well as part of a busy, friendly team.
* A commitment to providing excellent customer service.
* Can build a rapport with clients.
* Honest and trustworthy.
