Job Summary
To support and assist in the day‑to‑day running of Girvan Youth Trust by taking up the administrative duties required by the organisation. It is a minimum requirement that the successful candidate will be on site four days per week.
Duties & Responsibilities
* To cascade and assist in the roll out and collation of GYT’s Annual Consent Forms for staff, volunteers and young people.
* Attend any relevant meetings where minutes are taken and circulated to relevant staff and/or partners.
* Perform weekly receipt reconciliation in accordance with the GYT Bank Statement and Debit Card Log and pass the relevant information to the Treasurer.
* Calculate monthly bar bills and make the appropriate arrangements for payment.
* Compile any paperwork required for trips.
* Keep reminders for key dates such as policy review and risk assessment review.
* Monitor the Minibus Booking Diary.
* Organise the Z1 Youth Bar calendar with regard to lets, training and external bookings, ensuring there is keyholder cover in place.
* Ensure health & safety related building checks are carried out (e.g., routine fire safety checks).
* Assist the Z1 Co‑ordinator with monthly cash counting and banking reconciliation.
* Gather monthly supplies list for ordering – stationery, cleaning and kitchen items.
* Perform quarterly first aid supplies check.
* Assist in the day‑to‑day running and monitoring of GYT social media accounts alongside the relevant Project Co‑ordinator.
* Perform general admin duties.
* Ensure that all work adheres to the Girvan Youth Trust policies (e.g., confidentiality policy, equal opportunities policy).
This is a fixed location position and your working location will be Z1 Youth Bar.
