About the Role
We are seeking an experienced and proactive Team Secretary to provide high-quality administrative and secretarial support across a busy professional services team. This is a key role supporting multiple stakeholders and ensuring the smooth day-to-day running of the department.
The position is well suited to someone with prior experience as a Legal Secretary, Legal PA, or professional services secretary, who thrives in a fast-paced, collaborative environment and takes pride in delivering a well-organised and reliable support service.
Key Responsibilities
* Provide day-to-day secretarial and administrative support to multiple fee earners
* Manage diaries, schedule internal and external meetings, and proactively resolve clashes
* Format, type, proofread, and amend documents to a high professional standard
* Prepare presentations, reports, and meeting materials
* Arrange travel and accommodation and manage related logistics when required
* Book meeting rooms and assist with office coordination and supplies
* Maintain accurate electronic filing, document management, and version control
* Assist with printing, collating, and preparing papers for meetings
* Provide in-meeting support as required
* Handle sensitive documents and communications with absolute confidentiality
* Provide cover for other secretaries during periods of absence or peak workload
* Work collaboratively with the wider secretarial team to balance workload effectively
* Support the organisation of internal events and client activities
* Assist with maintaining internal databases and online systems
* Carry out occasional local errands and support general office organisation
Skills, Experience & Attributes
Essential:
* Previous experience in a PA, Secretary, or administrative support role, ideally within a professional services or legal environment
* Excellent organisational and time-management skills
* Strong written and verbal communication skills
* High attention to detail with a commitment to accuracy
* Confident user of Microsoft Office, particularly Outlook, Word, PowerPoint, and Teams
* Ability to manage competing priorities in a calm and professional manner
* Proactive, flexible, and able to work both independently and as part of a team
Desirable:
