JOB DESCRIPTION
BBC Shipping Administration Specialist
As a DHL BBC Shipping Administration Specialist, you’ll ensure that contract requirements are met, and documents are completed in a timely and efficient manner ensuring consistent high quality administration processes that enable DHL Global Forwarding to provide efficient Carnet and Administration service. Key activities:
1. Develop relationships with customers (internal/external)
2. Ensure all customer enquiries are logged and responded to promptly/professionally.
3. Adhere to Customs Compliance procedures and documentation.
4. Ensure each ‘Job File’ is accurately completed (costed and billed)
5. Assist in the preparation of presentations & reporting.
6. Support with finance administration of events.
7. Assist with other administrative duties such as credit control / accounts payable queries.
8. Ensure that all interactions are compliant with DPDHL Code of Conduct and other compliance requirements e.g., anti-corruption.
9. Contribute to the ‘First Choice’ continuous improvement program.
10. Participate in Monthly Team briefing sessions and weekly performance dialog meetings.
11. Complete all statutory and mandatory training as and when required.
12. Work confidently with Microsoft Office and particularly Excel.
13. Working with variety of internal systems and have good knowledge of: CW1, Workflow, EDM, Sick Files, FRP
14. Maintain excellent relationships with team members and other stake holders.
15. Identifying performance issues of processes and proposes solutions to improve/correct performance.
16. Interacts with all relevant internal and external parties involved to ensure processes are being followed.
17. Above tasks but not limited to these.
Skills, Experience & Qualifications:
18. Minimum 2-year experience in Project Administration
19. Good Administrative skills
20. Organised and systematic
21. Basic understanding of finance & accounting
22. Results driven and good attention to details.
23. Good written and spoken English.
24. Good interpersonal skills
25. Able to prioritise and perform under pressure.
26. A level education or broad GCSE level education.
