Summary
The Executive Assistant to the Superintendent of Schools and Board of Education provides high‑level administrative, organizational and strategic support to the superintendent and the Board of Education. This role requires exceptional professionalism, discretion, and judgment. Executive Assistant serves as a key liaison among district leadership, Board members, staff, and the public. The position is critical to the effective governance, communication, and daily operations of the district.
Minimal Qualifications
* High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
* Minimum of 3–5 years of executive‑level administrative experience, preferably in an educational or public agency setting.
* Proficiency with Google Workspace and Microsoft Office Suite.

Major Duties and Responsibilities
* Manage complex calendars, schedules, and appointments for the Superintendent.
* Manage the Superintendent and Board email to ensure timely and accurate responses, including composing letters, memos, and emails.
* Prepare reports and presentations in a variety of forms as needed.
* Arrange registration, travel, and lodging for conferences, trainings, and professional events.
* Reconcile and maintain expenditures and related documentation.
* Provide Notary Public services as needed.
* Serve as a primary point of contact and liaison between the Superintendent’s Office, district staff, community stakeholders, and the public.
* Serve as liaison between the school district and city/township clerks regarding all election‑related information and action items. Maintain permanent records of election results.
* Coordinate and distribute legal notices, communications, and district‑wide information.
* Prepare, assemble and distribute Board packets and meeting materials.
* Attend Board of Education meetings; record, and distribute official meeting minutes, in accordance with the Michigan Open Meetings Act.
* Maintain the Board’s agenda planning calendar and meeting schedule.
* Attend monthly Administrative Council meetings for the purpose of taking notes and providing minutes for administrative use.
* Assist board members with administrative requests while ensuring alignment with district policies and procedures.
* Coordinate participation of student representatives at Board meetings.
* Support student discipline documentation and processes.
* Ensure compliance with district policies and state regulations.
* Act as FOIA Coordinator as directed by the superintendent, processing all FOIA requests in accordance with the State of Michigan’s Freedom of Information Act, including managing timelines.
* Other duties as assigned by the Superintendent of Schools or their designee.
