KEY SKILLS:
1. Have a working knowledge of all policies and guidelines for the unit and company relevant to your position.
2. Participate in the keeping of accurate written records in accordance with the policies of the unit.
3. Observe the "confidentiality" of information pertaining to those patients in our care, your colleagues and the business of the company.
SPECIFIC RESPONSIBILITES:
The purpose of this post is to support the Registered Manager to ensure the smooth running of the Unit. It is therefore recognised that the post holder will have access to sensitive and personal data relating to staff, patients and the business, the confidentiality of which must be maintained at all times.
To provide a comprehensive administrative service to the specified unit.
To ensure that all the administrative functions and duties at the Unit are carried out effectively and efficiently.
1. Receive and screen telephone calls in a polite and efficient manner.
2. Manage the mail received into the unit and action accordingly.
3. Communicate sensitively with patients/service users and their relatives as necessary.
4. Establish good working relationships with colleagues, other healthcare professionals, advocates and the general public.
5. Maintain accurate records
6. Collation of timesheets on a weekly basis
7. Accurate and timely entry of hours on the Civica system to ensure weekly accounting deadlines are met:
8. Liaison with the payroll department to ensure all supporting documentation is provided.
9. Deal with daily petty cash transactions and maintain petty cash spread-sheet system.
10. Ensure sufficient funds are available to meet the needs of the unit in a timely manner.
11. Reconcile on at least a weekly basis and produce supporting documentation.
This is not an exhaustive list of duties and responsibilities, the post holder may be required to undertake other duties following appropriate discussion with their line manager.
