We are looking for a Contracts Specialist to join our Offshore Resources (OR) team at our East Campus office in Westhill, Aberdeenshire on a full-time staff basis.
The OR group is responsible for providing, and ensuring the operational capability of, the vessels, equipment, crew and onshore support facilities that power Subsea7 projects and offshore operations worldwide.
The Contracts Specialist role sits within the OR Supply Chain Management (SCM), Contracts and Chartering function and is primarily responsible for providing efficient, cost-effective and value-adding procurement and contract management support.
This is a complex role within an operational environment with responsibility for a broad range of high complexity / criticality products and services including, but not limited to, major CAPEX projects, vessel technical stops, modifications, upgrades, and dry dockings.
Due to the nature of the role, occasional domestic and international travel to operational worksites may be required.
What will you be doing?
This will be a highly varied role but some of the main responsibilities include:
* Prepare procurement strategies and develop package summaries and procurement plans where required.
* Identify gaps in our supply chain availability and establish Frame and Enabling Agreements where appropriate.
* Prepare and issue Request for Quotations (RFQ’s), including gathering any required information from the wider business e.g., scopes of work, specifications and HSEQ requirements. Manage any associated clarifications.
* Complete commercial evaluation of supplier responses to RFQ’s to ensure best value for Subsea7. Ensure that Technical, HSE and Quality evaluations are also completed.
* Review, qualify and negotiate bespoke or non-standard terms and conditions, including drafting special conditions, to secure the most favourable outcome for Subsea7.
* Deliver kick-off meetings, ensuring that suppliers fully understand their obligations.
* Engage internal stakeholders to identify, evaluate, monitor and mitigate the impact of identified risks and their effect on cost, quality and schedule and other projects, work orders and purchase orders.
* Apply contract close out procedures, including ensuring that relevant certificates are issued, analysis of ‘as-delivered’ costs, establishing and updating NORMS, statement of final account, returning financial securities, managing any continuing obligations.
What experience would we like you to have?
* Contractual experience – demonstrable knowledge of contract law and international contracting standards, with a good understanding and ability to apply key SCM procurement and contracting procedures.
* Education – a degree in Law, Business Management, or a related discipline. Candidates with extensive industry experience in a similar role in lieu of a formal qualification may also be considered.
* Industry experience – previous experience in a contracts or legal role, ideally within the marine, subsea, offshore, energy, or engineering sectors.
* Technical proficiency – demonstrated experience with computer systems, including working knowledge of business enterprise systems and contract lifecycle management tools such as SAP ECC6 / SAP S/4Hana and SAP Ariba.
* Initiative and drive – able to demonstrate a positive proactive approach and ability to problem solve.
* Attention to detail – able to demonstrate a high level of accuracy within work that is thorough and consistently meets quality standards, with the highest levels of confidentiality and ethical behaviour.
* Effective communication – able to communicate with clarity and confidence, and to build strong working relationships across commercial, technical, and operational teams.
