We're hiring for a Head of Operations…
Flexible/hybrid working – but this is not just a behind-the-scenes job
Do you get a kick out of building systems that run like clockwork?
Are you the kind of person who spots bottlenecks before anyone else even notices them – and actually enjoys fixing them?
Do you thrive on creating order, efficiency, and results… while others are busy getting overwhelmed?
If yes – keep reading. If not, please don't waste your time (or ours).
About Us
I'm Will Polston. I'm a strategist and coach to driven entrepreneurs to help them transform excuses into results and live a life they love. My work spans online coaching programmes, in-person mastermind groups, events, a podcast, and more – all designed to help people align to their North Star and unlock their next level of potential, performance and purpose.
But here's the truth: none of it works without world-class operations. That's where you come in.
This isn't a "support role." This is the operational heartbeat of the business. You'll own and optimise events, marketing operations, and systems so everything runs seamlessly – freeing me up to focus on strategy, thought leadership, and impact.
What You'll Achieve (Outcomes)
This role is all about results, not just tasks. Within 12 months, you'll have:
* Events running like clockwork – online or in-person – with 90%+ positive feedback.
* Built operational playbooks so events can be repeated or scaled without me holding the reins.
* Created smooth marketing operations (CRM, automations, dashboards) with 95%+ accuracy and zero critical errors.
* Improved lead-to-client conversion rates and ensured at least a 3x ROI on marketing spend.
* Documented and implemented SOPs that make the business capable of 10x growth without chaos.
* Designed and managed a client journey so good that 50%+ of clients stay on annually – with "surprise and delight" moments that wow them.
* Protected my headspace by working closely with my EA, ensuring I stay focused on what only I can do.
* Provided accurate monthly reports that link operations directly to revenue growth.
In short: you'll turn vision into execution and chaos into clarity.
Who You Are
This role will fit you if you're:
* An Operator at heart – systems, processes, and operational excellence are your love language.
* A Master of Events – live or virtual, you know how to deliver memorable experiences flawlessly.
* Fluent in Marketing Ops – you understand funnels, email, automation, CRM, data, and how they all connect.
* Tech-Savvy – you've worked with tools like ActiveCampaign, HubSpot, or Keap and aren't afraid to learn new ones.
* Detail-Obsessed – nothing slips through the cracks on your watch.
* Commercially minded – you balance cost, ROI, and brand impact with every decision.
* Collaborative but independent – you'll work with our EA, my existing team, suppliers, and partners without ego or micromanagement.
* Resourceful and resilient – you don't complain about resources; you get results with what's available.
And culturally, you'll resonate with how we do things at Will Polston Coaching & Training:
* We get results.
* We're efficient.
* We collaborate.
* We're congruent.
* We create great experiences.
If those words excite you rather than bore you, you're in the right place.
Who This Is NOT For
* People who need hand-holding and constant instructions.
* "Big idea" dreamers who hate detail and execution.
* Clock-watchers – sometimes this role needs long hours to deliver world-class events.
* Anyone who blames circumstances instead of taking ownership.
What's In It For You
* A front-row seat in a fast-growing coaching and training company with a big mission.
* The chance to shape and scale operations that impact thousands of entrepreneurs.
* Working directly with me (Will) – you'll see behind the curtain of high-level coaching, events, and entrepreneurship.
* Competitive salary (tailored to experience) and the opportunity to grow with the business.
* A culture where excellence, results, and growth are non-negotiable – but we also have fun doing it.
