Are you ready to be part of a team that truly values, supports and invests in its staff? Due to expansion of the team we have an exciting opportunity for a Team Administrator to join the Exeter Liaison Psychiatry team at Wonford House!

We are on the lookout for an enthusiastic and highly motivated individual with exceptional IT, communication and organisational skills, with an eye for detail in typing patient assessment letters. In this key role you will support the clinical team by staying calm under pressure and expertly manage competing demands to keep the team running smoothly. Your contribution will be invaluable and we will support you in developing the skills you need to thrive.

37.5 hours per week. There will be an expectation for the successful candidate to cover every other weekend and one evening shift until 9pm per week (unsociable hours attracts enhanced payments). Flexible working pattern for the remaining hours to be discussed during the appointment process.

Office-based position (located at Wonford House, Exeter).

Main duties of the job

As a vital part of the team, you will play an integral role in our Liaison Psychiatry Service. Liaison Psychiatry is the interface between psychiatry and medicine, assessing patients in the Royal Devon & Exeter Hospital. You will be supporting a multi‑disciplinary team that includes Consultants, Junior Doctors, Psychologists, Nurses, Social Workers, Occupational Therapists, Healthcare Assistants and of course, our amazing Administrative team! Together, we work in a fast‑paced, rewarding environment, putting patient care at the heart of everything we do!

You will be supported by the Business Administrator to provide a comprehensive administrative support service for the multi‑disciplinary team. The main duties of this role are:

* Team working from a shared inbox to generate letters to a high standard
* Entering referrals onto our patient electronic record
* Inputting complex and sensitive data relating to people who use our services
* Minute taking
* Data management/quality
* Supporting the clinical staff with admin processes

Person Specification


Qualifications

* Business Administration Level 3 / T Level qualification in Management and Administration, or equivalent experience.
* GCSE English or equivalent.
* Evidence of continuing professional and personal development.
* ICDL (International Computer Driving License), or equivalent experience.


Knowledge and skills

* Intermediate IT skills in Microsoft Office Packages, i.e. Word, Excel, PowerPoint and Outlook.
* Ability to meet deadlines and to work under pressure.
* Ability to work both independently and as part of a team.
* Experience or understanding of creating electronic records, electronic filing systems.


Experience

* Excellent organisational skills.
* Ability to prioritise workload and adapt to change when required. Previous experience of working within an administrative or secretarial team.
* Ability to take accurate formal and informal minutes.
* Experience of dealing with confidential and complex information.
* Previous NHS experience of working in a Healthcare or Social Care administrative setting.
* Demonstrate good numeracy and literacy skills.
* Experience of general office routine and filing systems.
