At Perfect Weddings Abroad, we don't just plan weddings, we create lifelong memories. We're looking for a highly organised and people-focused Wedding Experience Administrator to join our concierge team and support our couples through every stage of their wedding journey.
This is an office-based role where you'll be responsible for managing your own workload and desk, handling administration with accuracy, and supporting couples in the early stages of planning before they are introduced to their dedicated wedding coordinator. While it isn't a face-to-face customer service role, you'll need to be confident in handling phone calls, emails, and timely back-and-forth communication with both couples and overseas resort teams.
Key Responsibilities
* Support couples in the initial planning stages before they are passed to their dedicated wedding coordinator for final details
* Triage and respond to incoming queries from couples regarding their venue, package, wedding day, or planning process
* Update and maintain CRM software, ensuring records are accurate and up to date at all times
* Send out regular contact messages to check in with couples and maintain strong communication throughout the process
* Manage requests for wedding extras: logging requests, contacting suppliers, securing bookings, and keeping a detailed record of all extras arranged
* Collect payments and deposits for extras and ensure supplier confirmations are tracked and organised
* Liaise with overseas venues and resort teams - making phone calls to resolve outstanding queries quickly and efficiently
* Work somewhat independently to manage your own daily responsibilities and desk, ensuring deadlines are met and couples receive timely support
* Deliver a professional, approachable, and supportive service that reassures couples they're in safe hands throughout their planning journey
What we're looking for:
* Strong IT skills and confidence using booking systems, email, and online tools
* Excellent written and spoken English, with a clear and professional communication style
* A bubbly, confident personality with a genuine passion for helping people
* Strong organisational skills with the ability to manage multiple bookings and deadlines
* Confidence in handling phone calls and prompt written communication, even when dealing with overseas teams and suppliers
* Ability to work independently, take ownership of tasks, and manage your own workload effectively
* A solution-focused mindset: someone who can think on their feet and resolve challenges
* A team player who takes pride in delivering the best possible experience for couples
* Experience in weddings or events is advantageous
* A genuine passion for travel and destination wedding styles is desirable, with an interest in helping couples celebrate in beautiful locations around the world
