Overview
HR Shared Services Consultant - Fixed Term Contract (12 months). This role can be based in Edinburgh or London.
About the role
In this role you will work closely with the HR Shared Services team and the HR Business Partners to provide generalist HR support within EMEA and the US, with regular global interaction with People & Culture colleagues in Hong Kong, New York, Singapore and Sydney. You will work on matters including international mobility, payroll and benefits (support) and general staff movement-related management and administrative support executed by the Shared Services Analysts.
Your experience
Qualifications
* Prior experience in an HR administrative and/or customer service role.
* Demonstrable knowledge of HR policy and regulatory environments – in general terms and specifically within the financial services industry.
* CiPD qualified, or currently working towards CiPD qualification.
* Good general knowledge of UK Employment Law and Employee Relations.
* Experience with HR systems (Oracle Fusion and/or Workday would be highly advantageous).
* Knowledge of UK payroll processes.
* Experience working in a global matrix organisation.
* Experience in asset management or global financial services business.
* Experience of employment legislation and HR requirements in First Sentier Group locations (Ireland, France, Germany, Luxembourg, US, Australia, Hong Kong, Singapore, Japan).
* Knowledge of workflow tools.
* Experience of US benefits (including Open Enrollment).
* Experience supporting and influencing culture and process change toward a self-service approach by colleagues and People leaders.
* Proactive, self-driven with ability to work independently.
* Excellent attention to detail and ability to meet deadlines while producing accurate work.
* Strong customer focus with ability to understand stakeholder needs and deliver the right outcome.
* Continuous improvement mindset with interest in innovative solutions (including AI and other tech).

* Understanding of risk management; ability to identify, assess, control and mitigate risks, escalating as needed.
* Support the HR Shared Services Manager in delivering timely, high-quality operational work.
* Monitor and manage mailboxes, workflow and completion of requests to ensure SLAs are met.
* Manage new joiner, mover and leaver escalations as required.
* Provide support to the business, respond to queries, interpret policies and provide advice.
* Complete activities to a high standard with awareness of risk and end-to-end value chain impacts.
* Manage Work Health & Safety (WHS) incident reporting, including investigation and logging as per policy.
Responsibilities
* Stakeholder partnering with P&C Business Partners and GSS to support organisational design and performance matters.
* Act as a support person for P&C Business Partners in performance and conduct/grievance matters as requested.
* Collaborate with Talent Acquisition and Payroll to ensure onboarding, internal movement, offboarding and payroll processes are smooth.
* Provide administration support for remuneration reviews, performance management, talent and succession planning, and development planning.
* Coordinate remuneration promotions and support HR Business Partners.
* Prepare responses on behalf of People & Culture for RFPs and DDQs when required by stakeholders/investors.
* Manage reporting and queries relating to colleague benefits.
Global Mobility
* Manage end-to-end visa sponsorship and governance to ensure immigration compliance.
* Coordinate global mobility transfers, handling queries and working with partners to deliver timely service.
* Review international remote working processes and close out requests.
* Identify continuous improvement opportunities across people, processes and systems.
* Manage P&C intranet knowledge content to promote self-service and a positive employee experience.
* Update SOP documents and artefacts to remain current.
* Support compliance and risk-management awareness within the HR Shared Service and broader People & Culture teams.
* Ensure adherence to relevant policies for the role and team.
