PA to the CEO & Governance Coordinator 9-Month Fixed-Term Contract Office-based, Birmingham Up to £31,000 Full-time/Monday-Friday/35 hours Start ASAP Overview : We are seeking a highly organised, professional, and proactive PA to the CEO & Governance Coordinator to provide executive-level administrative and governance support to the Chief Executive. This is a unique opportunity for an experienced individual who can manage complex schedules, coordinate board-level governance processes, and ensure the smooth running of executive functions in a values-led organisation. This is a 9-month fixed-term role, ideal for someone with prior experience working closely with senior leadership and within governance structures. Key Responsibilities: Executive Support to CEO: Proactively manage the CEOs diary, correspondence, and meeting preparation.
Coordinate travel, conferences, hospitality, and events for the CEO as needed.
Handle confidential information with professionalism and discretion.
Support CEO communications with trustees, senior managers, and external stakeholders.
Governance Coordination: Organise Board and subcommittee meetings, including scheduling, agenda setting, and minute-taking.
Maintain governance records, policies, and statutory filings (e.g., Charity Commission, Companies House, RSH).
Support compliance by ensuring timely submission of regulatory returns and documentation.
Act as a liaison between the CEOs office and trustees, ensuring consistent communication and record-keeping.
Organisational Administration: Manage filing systems for contracts, governance documents, and strategic reports.
Coordinate internal and external meetings related to governance, performance, and compliance.
Assist with the development of internal policies and frameworks supporting best practice governance.
Coordinate applications for accreditations or quality standards (e.g., IiP).
Ideal Candidate Will Have: Proven experience as an Executive PA or Governance Officer (minimum 3 years).
Excellent minute-taking and document management skills.
Strong knowledge of governance, compliance, and regulatory requirements in the not-for-profit or housing sector.
Exceptional organisational and communication skills with a high level of attention to detail.
Ability to work under pressure, manage competing deadlines, and maintain strict confidentiality.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
A-level or equivalent qualifications (minimum); further professional training in governance or compliance is desirable.

Additional Information: This post requires the ability to handle sensitive data in line with GDPR and internal confidentiality protocols.
Some occasional out-of-hours work may be required for Board or event support.
A Basic DBS check will be required.
