Main duties and responsibilities

* Monitor the day-to-day operational processes ensuring compliance with all internal and external regulations, policies and procedures.
* Conduct enrolment and re-enrolment activities for each intake in compliance with internal and external policies and regulations.
* Liaise with Admissions to ensure registration, deferral and de-registration records are maintained accurately.
* Maintain students’ records updated on ESL databases (i.e. Student Records System).
* Ensure improvements in data quality throughout student lifecycle and work alongside Data Analyst to ensure collection of all relevant student data as required for submission to HESA and other external stakeholders.
* Conduct regular audits on students’ data to ensure accuracy and reliability.
* Action de-registration, withdrawals, study break and any change of student status.
* Keep up-to-date with policy and legislative changes affecting students, such as disability legislation, consumer legislation, HESA policy and procedures, and national and international educational developments.
* Ensure own understanding and updating of the various student records, academic and course administration processes and the institution’s course provision.
* Liaise with Quality and Academic Standards to ensure own understanding and updating of Programme and Module Specifications.
* Liaise with Assessment and Student Success to ensure students with granted extension and mitigating circumstances are supported during submissions / examination sessions and relevant data are captured during dual control.
* Adhere to the provisions of data protection legislation and refrain from sharing any personal or other information relating to students with any third party without Academic Registrar (or nominee) express permission.
* Provide first-line advice and guidance on registry related matters.
* Review and update student records policies and procedures to ensure they meet institutional, legislative and regulatory requirements (including disability and consumer legislation) and ensure their dissemination and implementation throughout the institution.
* Receive and action Assessment Board outcomes to map students’ modules (ILP) each Academic Year and inform relevant departments (i.e. IT, Timetabling (Planning)).
* Proactively contribute to operational planning within Registry Division.
* Upon request, provide data to senior management / leadership for strategic decisions making.
