Role Overview
The Engineering Team Coordinator plays a vital role in ensuring the smooth operation of the Engineering team by providing administrative and technical support across multiple functions. This position serves as a key liaison between different engineering stakeholders, managing workflows and maintaining quality standards.
Key Responsibilities
* Engineering Team Support
o Provide day-to-day administrative support to Engineering team members
o Coordinate meetings, document action items, and follow up on outstanding tasks
o Manage communication between team members and other departments
* Programme Lead Support
o Capture and document remedial work orders with accuracy and attention to detail
o Log and upload work orders to CAFM (Computer-Aided Facilities Management) system
o Track status of remedial work requests from initiation to completion
* Project and B2IM Support
o Develop and implement processes to ensure timely and sufficient project document handover across the client's project teams and supply chain partners
o Liaise with the client's PMO to understand programmes of work and pipeline projects
o Create project entries and raise associated work orders in the CAFM system for RSCP projects
o Facilitate efficient information flow between project stakeholders
o Monitor adherence to document handover processes and recommend improvements
* Quality Assurance
o Conduct quality assurance checks of completed remedial works against specifications
o Document findings and prepare reports highlighting areas of compliance and concern
o Recommend process improvements based on QA findings
* Compliance Support
o Assist the Compliance Analyst with quality checks of PPM (Planned Preventive Maintenance) documents
o Ensure documentation meets regulatory standards and internal requirements
o Help maintain compliance records and prepare for audits
* Asset Management
o Support the Asset Data Analyst in coordinating asset change requests
o Track asset modifications from request through implementation
o Maintain accurate records of asset changes and updates
Qualifications
* Previous experience in an administrative or coordinator role, preferably in an engineering or facilities management environment
* Familiarity with CAFM systems and asset management principles
* Strong attention to detail and organizational skills
* Excellent communication abilities, both written and verbal
* Proficiency in Microsoft Office suite and database management
* Basic understanding of engineering documentation and terminology
