Moulton Surgery has a vacancy for a part‑time Patient Service Advisor. We are ideally looking for someone to work 25.5 hours per week, either at Moulton Surgery or our branch site at University of Northampton.
Work schedules include:
* Monday 8:00 am – 6:30 pm; Friday 1:00 pm – 6:30 pm
* Monday 7:45 am – 1:00 pm; Tuesday 12:30 pm – 6:00 pm; Friday 8:00 am – 1:00 pm
We are looking for someone who can handle pressure, think on their feet within a busy and sometimes demanding environment. Customer Service is really important to us along with a can‑do attitude. It is essential that you are a friendly, flexible, self‑motivated and a hardworking individual.
Main duties of the job
* Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in‑person or via the telephone.
* Maintain the strictest confidentiality when handling medical records and other patient information.
* Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
* Book appropriate appointments and arrange home visits for patients.
* Prepare paperwork and booking appointments for various clinics.
* Maintain a clean, tidy and welcoming front‑of‑house environment, including updating noticeboards and ensuring adequate stocks of leaflets.
* Process incoming daily post, including scanning of correspondence onto patient notes.
* Accept and start the process of new patient registrations, temporary resident, immediate and necessary forms, including online services requests.
* Collect and enter data onto the clinical system (e.g. change of address/name, smoking history, email addresses, mobile telephone numbers).
* Deal with requests for private medical services, process forms, advise patients of costs and arrange appointments; receive and process payments for private medical services and issue receipts.
* Perform general office duties such as preparation of care‑home visit documentation, online triage reviews, shredding, photocopying, emailing.
* Prepare the clinical rooms before surgery and ensure they are left clean and tidy after surgery (stocking as necessary).
* Open and close the surgery when required, adhering to processes.
* Provide cover for other members of the practice team on annual or sick leave as and when required.
* Help train other members of staff when necessary.
* Maintain a high level of confidentiality at all times.
* Follow directions for all tasks as set out in the procedures, protocols and standard operating procedures.
* Carry out general housekeeping in the reception area, including floor cleaning and wiping work surfaces and cupboards.
* Work in a professional manner at all times.
* Be pro‑active in suggesting and developing new initiatives to improve the reception area.
* Prioritise tasks and work under own initiative.
* Duties may be varied from time to time under the direction of the Practice Manager, depending on current and evolving practice workload and staffing levels.
Qualifications
* Good standard of education (GCSE A-C in Maths and English)
Experience

* Experience in a customer‑facing environment
* Experience of working as a Receptionist within a GP surgery
* Experience in handling confidential information and data
