An exciting opportunity has arisen for an organised, hardworking and enthusiastic individual to join our supportive and helpful Reception team at Hampshire County Council. The team provide a first-class front of house service to all those who cross their path daily.
The Role:
Are you passionate about delivering exceptional customer service? We’re looking for a proactive and customer-focused FM Officer to join our Facilities Management team. This hands-on role blends behind-the-scenes coordination with a vital front-of-house service, so you will oversee those accessing our services or arriving for meetings from arrival to departure.
Teamwork is an essential requirement of the role, enabling the team to be robust in providing an excellent standard of customer service and you will help guide them to meet their goals and oversee their success. You will support the team as they carry out their day-to-day duties and have a hands-on approach during busy times. The role provides a variety of duties and environments for the successful candidate to flourish in.
Daily tasks for the team include (but not limited to) being the first point of contact for those visiting the site, arrange for visitors to be collected or direct to meeting rooms and assist with queries, whether at the HQ or in our Training Venue for the complex. Accurately record information in line with procedures, respond to telephone calls in a professional manner and ensure meeting rooms are set up appropriately.
What you’ll do:
1. Oversee the day to day running of two receptions, including any future development of local sites
2. Support the team to be able to carry out their duties
3. Build wider relationships to aid the knowledge the team possess, to support them in their role
4. Ensuring sufficient cover is always provided and be responsible for the weekly staff rota
5. Provide managerial support to the team, carrying out one-to-ones, return to work discussions etc
6. Work closely with the Events Officer to champion cross team working
7. Provide support to the Senior FM Officer
What we’re looking for:
We’re looking for someone who is confident, dependable, and experienced in a similar role. You’ll be a strong team player with proven managerial skills and a genuine commitment to excellent customer service. You will have an excellent level of English, and your communication skills will help you build positive relationships with a wide range of stakeholders and handle situations professionally and effectively.
You will have good organisational skills and have a flexible approach to be able to respond positively when faced with challenges. Have tact, to be able to support and communicate in various scenarios/settings, tailoring your approach accordingly. You will have sound IT skills and a willingness to learn new systems and processes. The role can be very demanding during peak periods, with flexible working necessary to support other Facilities Management Teams as and when required.
Due to the duties involved in this role, you will need to be able to fulfill the moving/handling requirements. The working week is 37 hours, Monday to Friday. The successful candidate must be available to support the working hours of all sites, between 0730-1800, a varied shift pattern is in place to support these hours. There is also the opportunity for overtime in the evening and at weekends to support out-of-hour events.
Training will be provided to assist you in this role, including Customer Service, First Aid and Manual Handling.
