About the Role
The Recruitment Operations Team is a part of the HR Department working closely with the Talent Acquisition and HR administration, Payroll teams; stakeholders across the business; as well as applicants and third-party suppliers. The Recruitment Operations Team is responsible for employee compliance; as well as the recruitment and onboarding administration service to applicants and hiring managers.
All team members are expected to promote, lead, and represent the company brand, values, and culture.
Key Responsibilities
The role-holder will support the employment and recruitment related compliance activities, ensuring the company is compliant and a high-quality service is provided to all employees. Working alongside experienced colleagues across the HR & Resourcing Operations function, the role holder will learn all key aspects of the HR & Resourcing Operations function supporting a structured career path. The duties and responsibilities below provide a summary of activities that will be carried out; this list is not exhaustive:
Vetting and Compliance Management
* Applicants: Support pre-employment vetting processes including DBS checks, NPPV, right to work checks, credit checks, references, and compliance with legal and regulatory requirements. Ensure adherence to data protection obligations.
* Employees: Supervise vetting checks for current staff, such as DBS checks and NPPV, ensuring timely dispatch of report requests, resolution of queries, downloading of reports, and updating employee records. Escalate non-compliance issues to the Recruitment Operations Manager.
* County Court Judgments (CCJ): Take ownership of the adverse checks process for new starters and current staff, providing necessary file notes and escalating issues following the established escalation process.
* FCA Checks: Support the Compliance team with the new FCA checks and annual checks, ensuring the appropriate process is in place and monitored.
* Right to Work: Ensure accurate recording and monitoring of staff requiring visas.
* Onboarding Audit Report: Support with the monthly onboarding audit report to ensure all files and system records are up to date.
* Support with the checking of Contracts of Employment.
* Respond to requests for employment, tenancy, and financial references, within agreed timelines. Oversee the regulated reference process and liaise with the Compliance team accordingly.
* Respond to queries via the recruitment inbox and HR Service Portal, adhering to prescribed timelines and escalating to the appropriate team members as needed.
* Review and process invoices for benefits and other general HR requests.
* Oversee reviews of team files, the recruitment inbox, and handle form deletions, ensuring compliance with GDPR and other data protection regulations.
* Undertake any other ad hoc duties as required by the Recruitment Operations Manager to support the wider team e.g. General administration duties such as, filing, archiving, and GDPR compliance.

Essential
* Experience of working in a customer service environment e.g. office, retail or hospitality.
* Good standard of education including a Grade 4 (or equivalent) in English and Maths.
* IT literacy - proficiency in the use of MS Office software (Outlook, Word, Excel) and confidence working with different systems for various processes.
* Possess strong communication skills both written and verbal.
Desirable
* Previous office working experience preferably within an HR administration team.
* Experience of HR Systems.
