The role will include answering phones, navigating patientsto the correct service/appointments, manning front desk, scanning,prescriptions and other administrative tasks requested by the GPs.
Administration
Pulling/filing notes for surgeries and update as necessary
Filing post in medical records
Outgoing paperwork (referrals, business letters, claims, forms, repeat prescriptions
Deal with Online consultation
Undertake administration tasks as allocated on rota organised by Senior Receptionist.
Reception
Be able to cover all reception position as necessary
Contact with patients, appointments, greeting patients on arrival, directing as appropriate, dealing with visitors, informing patients of late running surgeries, registering new patients, explaining services
Ensure reception and waiting areas are kept neat and tidy
Albion Health Centre is afriendly training practice with approximately 10,000 patients. We are based inTower Hamlets (Whitechapel), very close to the Royal London Hospital andWhitechapel Tube station. Whitechapel station is an interchange station forLondon Underground, Overground and Elizabeth Line services.
Attend to Patients at the Reception Desk. Answer the telephone, take messages and convey theircontent to the appropriate Doctor or Nurse via the message book system andother members of staff and relay replies back to the Patients as applicable.
Ensure that the full details of any Home Visit requestsare taken and ensure that the correct details are passed to the correct Doctorbearing in mind the rota applied when a GP is absent and rules for visitsreceived after 11.Handle urgent requests for appointments/visits,contacting the Doctor on call as necessary and deal with all emergencies in aprompt and efficient manner. Assist clinical staff as necessary when dealingwith emergencies in surgery.
Make arrangements for hospital transport as requiredensuring that the correct details are forwarded to the transport provider andconfirm that the booking has been received.
Make full use of the computer system, both EMIS andDocman, and familiarise oneself with the operation of the same using thecomputer as required for obtaining, recording and updating patient informationetc.
Operate the Practice procedure for contacting patientsre pathology results and letters where further action is required.
You may be called upon to liaise with the computersoftware suppliers (INPS) or the local IT Department for computer (hardwarefaults) in the event of problem occurring.
Carry out any special procedures as required ie checkingthe computerised appointment system, computer listings and any other specialprojects.
To liaise and co-operate with all colleagues includingattached staff ie Health Visitors, District Nurses and Midwife.
Attain a working knowledge of the franking machine.
To be responsible for the operation of the ReceptionIncome and Reception Petty Cash systems ensuring that all book work and moniesagree.
Attend any necessary training courses/sessions. To participate in the training of new members of staff arequested by the Practice Manager.
