So, what’s the role all about?

As the Receptionist, you will be the first point of contact for employees, clients, and visitors, ensuring smooth day-to-day operations in the London office

How will you make an impact?

As the Receptionist, you will be the first point of contact for employees, clients, and visitors, ensuring smooth day-to-day operations in the London office. Your responsibilities will include:

1. Front Desk & Visitor Management:
2. Opening and setting up the reception and waiting area.
3. Answering and directing calls professionally.
4. Managing visitor access, issuing passes, and ensuring sign-in compliance.
5. Notifying ground floor reception of visitor arrivals via the online portal.
6. Meeting Room & Event Coordination:
7. Booking and monitoring internal and client meeting rooms.
8. Ordering and arranging catering for meetings, ensuring all costs are logged.
9. Assisting with office events and social committee activities.
10. Mail & Courier Services:
11. Handling incoming mail distribution.
12. Arranging daily couriers to internal and international shipments via DHL.
13. Office & Facilities Support:
14. Managing Cleaning Operatives and ensuring completion of daily checklists.
15. Maintaining a clean and welcoming reception area.
16. Ordering office supplies and placing stationery orders.
17. Logging and tracking facilities-related expenses and admin spreadsheets.
18. Raising and tracking internal purchase orders (POs).
19. Logging helpdesk tickets for maintenance requests (e.g., air conditioning, doors, lifts).
20. Liaising with security for access control, including out-of-hours access.
21. Administrative & Team Support:
22. Assisting the London & Southampton Office Manager with leaver equipment returns.
23. Supporting the EMEA Facilities Manager with various tasks as needed.
24. Assisting departments with administrative tasks upon Office Manager approval.
25. Finalizing documents (signature collection, stamping, scanning, and forwarding).
26. Binding and laminating documents when required.
27. Providing remote support to Southampton & London offices for purchasing, event planning, and venue coordination.
28. Covering DHL-related tasks when the Office Manager is unavailable.

29. Corporate Reception Experience: Previous experience in a front-of-house role within a corporate setting.
30. Strong Interpersonal Skills: A friendly, open, and approachable manner with excellent communication skills.
31. Technical Proficiency: Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
32. Professionalism & Initiative: A polished appearance, professional attitude, and the ability to remain proactive and resourceful in problem-solving.
33. Organizational Skills: The ability to multitask, prioritize effectively, and work well under pressure.
34. Team Spirit: A collaborative mindset with a “can-do” attitude and willingness to support colleagues.
35. Flexibility & Business Awareness: An understanding of company objectives and the ability to adapt as needed.
