This is a wonderful opportunity for someone highly organised, detail-focused and proactive to join as an Operations Support Administrator. The role is at the heart of the business, supporting core operations through coordination, planning and administration. Role Snapshot Youll be working across a variety of areas including scheduling technical teams, preparing quotations, processing sales and purchase orders through to invoicing, and assisting with property and facilities administration. The position is varied and engaging, requiring someone who thrives on structure, teamwork, and achieving deadlines to a high standard. Key Responsibilities: Administration & Inbox Management Managing multiple inboxes, both individual and shared Sales Support Processing new sales opportunities in the CRM system Preparing quotations, sourcing vendor pricing, and sharing approved proposals with customers Responding to initial customer queries Operations Support Full end-to-end management of customer sales and purchase orders through the PSA system Coordinating goods in/out, ensuring all items are logged into the asset management system (occasional visits to local storage facilities may be required) Organising the safe dispatch and delivery of goods to client sites, including correct shipping/export documentation Preparing customer invoices once orders are processed or authorised Finance Support Assisting with month-end closing by preparing reports and documentation Renewals Management Ensuring client agreements are correctly set up within the PSA system and vendor portals Scheduling renewals in line with agreements Monitoring licence usage through reporting and triggering reviews with account managers where appropriate Office Management Overseeing office upkeep to ensure a safe, clean and welcoming environment Coordinating health, safety and environmental checks, raising and addressing risks with management Security & Asset Management Liaising with third-party facilities and support suppliers Monitoring service agreements and scheduling supplier activities in line with audits Overseeing asset management administration Resource Scheduling Scheduling resources across technical consultancy teams, including project work, rotas, site visits and leave Supporting scheduling across departments such as HR, Projects, Support and Maintenance Coordinating travel and accommodation bookings for staff Reporting & Communication Running regular and ad-hoc reports to support business development and operational planning Ensuring smooth communication across departments to streamline processes and support excellent service delivery Maintaining accurate documentation in line with company quality standards Continuous Improvement Identifying opportunities to introduce automation and efficiencies Proactively suggesting improvements to processes and administration practices Apply now for immediate consideration.
