Job Description
We are currently seeking to recruit Security Cleared Document Controllers to join our Infrastructure Digital business. This role is varied and challenging and involves working with multi-disciplinary project delivery teams. Initiative and problem-solving skills are essential, along with strong interpersonal and communication skills, experience with control procedures, and using Common Data Environments (CDE) / Electronic Document Management Systems (EDMS).
Key Responsibilities
1. Management of CDE / EDMS: Undertake daily user account management. Respond to ad-hoc requests from users to move or rename incorrectly uploaded files/documents.
2. Document Quality Control: Monitor compliance of incoming and outgoing documents, ensuring correct format and metadata.
3. Project Communication: Manage project-related mail, correspondence, and RFIs via the system.
4. Information Packages: Support assembly and check completeness of information packages during design review and approval, reporting adherence to timescales.
5. Provide CDE Guidance & Training: Organize training for new and existing users, provide guidance on file naming protocols, and maintain training logs.
6. Maintain Container Configuration & Workflows: Regularly check file/document links and workflows, fixing issues as needed.
7. Maintain User Directories & Protocols: Update user access matrices, IM protocols, and file naming protocols reflecting project changes.
8. Ad-hoc Support: Respond to requests related to document management and CDE/EDMS system use.
9. System Configuration & Implementation: Support client CDE/EDMS setup and integration.
10. Interface with BIM Standards: Work with 3D models and data within CDE/EDMS.
Experience & Skills
* 2+ years experience with industry-leading CDE software.
* Knowledge of ISO 19650 standards.
* Expertise in at least one: Aconex, ViewPoint/4P, Asite, Bentley Projectwise.
* Ability to work remotely with support.
* Strong organizational skills and attention to detail.
* Experience migrating data, uploading, and cataloguing documents.
* Excellent communication and relationship-building skills with clients and contractors.
Desirable Skills & Experience
* Stakeholder engagement experience for EDMS changes.
* Workflow management within EDMS.
* Experience in a site environment is advantageous.
* Willingness to learn and develop in Information Management.
