Job Overview
Due to internal promotion, we are seeking a highly organised and efficient Admin Team Leader to join our team, working between our Scotstown & New Dyce practices. The ideal candidate will be responsible for ensuring the smooth running of the operation by managing various administrative tasks. This role requires excellent phone etiquette, strong organisational skills and proficiency in various software applications. The Admin Team Leader will play a crucial role in supporting the team and enhancing productivity within the office environment.
Job Summary
1. Excellent communication, IT and organisational skills with a great attention to detail. A positive attitude and ability to multi task within a fast paced environment is essential.
2. To promote a smooth running, highly motivated office team, trained to a high standard to deal with tasks and enquiries from both patients, colleagues & internal / external stakeholders.
3. Youre also able to explain sensitive or complicated information in a way thats clear, sympathetic and easy to understand to both patients & the staff within your team.
4. Experience of working in a management or supervisory role is essential.
5. Primary or Secondary Care experience not essential, but would be advantageous.
6. Provide training and support to team members on processes, procedures and software applications.
7. Foster a positive work environment that encourages collaboration and communication.
8. This is working Team Leader role, where approx. 25% of your time will be working within the team in a patient facing role: reception / telephones, with the remainder working as a member of the management team.
Skills
9. Strong phone etiquette with the ability to communicate effectively with patients and colleagues.
10. Excellent organisational skills to manage multiple tasks efficiently
11. Strong administration skills
12. Previous experience in administrative roles is preferred but not mandatory
13. Ability to work independently as well as part of a team in a fast-paced environment
14. Competent in standard IT packages, e.g.: Microsoft Word, Excel, TEAMs, SharePoint.
15. IT usage is at the core of the role & a competency assessment will be required if considered for the role.
Requirements
16. At least two years experience supervising or leading a team
17. At least two years experience in a customer or patient care setting
18. Due to the requirement to work between both practices, transport and a valid driving license is a essential.
Core Duties
19. Reporting to the Administration Manager & Operations Manager, you will assist in leading the teams in our practices, at Bridge of Don and Dyce. Working with a Team Leader already in place, you will work between both practices.
20. Ensuring office protocols are kept up to date and distributing amongst staff when required
21. To assist with any other administrative duties required by the practice

We operate Monday to Friday, 0800 1800, therefore there will be a requirement for days starting at 0800, as well as days ending at 1800. Compressed hours will be considered, working full time over 4 days.
