Role Description
We are seeking a highly organised, proactive, and resourceful Executive Assistant to provide exceptional support to the executive team. This hybrid role combines traditional EA responsibilities with programme coordination and PMO (Project Management Office) support, ensuring effective governance and delivery of key organisational strategies.
The ideal candidate thrives in a fast-paced matrix environment, is passionate about operational excellence within a B2B context, and brings experience, or strong transferable skills in project management or PMO-related activities.
Key Responsibilities
• Executive & Personal Assistant Duties
• Provide administrative support to executives, including calendar management, travel arrangements, meeting coordination, and expense management
• Strong communication and prioritisation skills that ensure the executive remain focused on leading the business and its strategic execution.
• Synthesis and summarise reports, presentations, and other relevant documents.
• Collation & preparation of monthly board/management reports.
• Summation and distribution of statistical management information in an efficient manner
• Organise travel for the executive and expense submission within policy
• Minutes of various meetings & follow up on action points to be submitted to deadlines
• Event management
• Project Management (known EOS Programme Coordination in Aspen)
• Support the implementation and ongoing management of the Entrepreneurial Operating System (EOS) across the organisation.
• Support facilitation of Level 10 meetings, quarterly planning sessions, and annual strategy days.
• Maintain and update EOS tools.
• Ensure alignment across teams with EOS principles and drive accountability for execution.
• Support the HR team with administration and addendum projects.
Skills & Experience
• Proven experience as an Executive Assistant, Personal Assistant, or similar role(s) supporting executive or senior leadership teams.
• Programme management skills with an understanding of EOS or willingness to become fully trained in EOS methodology. Has a strong "can do" work ethnic.
• Exceptional organisational and time-management skills, has emotional resilience.
• Excellent written and verbal communication style. Possess critical thinking
• Ability to manage multiple priorities with discretion and confidentiality and to
• Comfortable facilitating meetings and cognisant of time zone differences (Aspen operates globally)
• Proficiency in Microsoft Office, Google Workspace, and EOS-compatible platforms (e.g.,, Traction Tools).
• Experience in an international business environment desired or have the cultural empathy to adapt it
• Secretarial skillset (Word, PowerPoint, Excel and SAP).
•Proven PA / secretarial experience.
Desirable Qualifications
• Project management experience or certification (e.g., PMP, Prince2).
• Experience in a scale-up or entrepreneurial environment.
• Full UK driving licence.
